Job Summary

This person serves as the hub for all office activity including support for program staff, development staff, Executive Director, and Board of Directors.

Job Responsibilities

Administrative Job Responsibilities:

  • Answer phones and greet visitors
  • Collect and distribute mail from office and PO Box
  • Prepare communications, such as emails, invoices, reports, newsletters and other correspondence
  • Create and maintain filing systems, both electronic and physical
  • Maintain account receipts and documentation for bookkeeper.
  • Collecting and organizing data for grant reports
  • Ordering office supplies and other items upon request
  • Other duties as assigned

Development Support:

  • Enter donor data and gift information into donor management system
  • Generate and distribute acknowledgement letters for donations
  • Assist Director of Development with thank you note production and distribution
  • Support Director of Development in planning and execution of fundraising events and tabled events
  • Create content for social media accounts and assist Director of Development with planning of future content
  • Make any necessary changes to website and ensure all information is most up to date
  • Prepare deposit slips for cash and check donations
  • Design event media (including but not limited to: flyers, invitations, event pages, etc.), advertising and program awareness materials

Program Support:

  • Maintain advocate resource portal and continuing education calendar on CASA website
  • Assist with onboarding of new advocates:
    • Receive applications; retrieve references; conduct background checks; set up advocate files
    • Ensure all necessary documents are signed
    • Assist with advocate training and continuing education
      • Booking spaces and arranging meals
    • Label and Scan all court orders to appropriate Advocate and Advocate Supervisor
    • Maintain advocate and program files (i.e. keeping background checks and physical case files up to date)
    • Create, order and distribute advocate, staff and board credentials
    • Support program staff in brainstorming and execution of annual advocate appreciation
    • Assist advocates as necessaryBoard Support:
    • Management of board meeting invitations
    • Maintain updated Board and Staff contact sheet
    • Create binders of information for new board members

Qualifications

Skills and Qualifications:

  • Exceptional organization
  • Strong communication skills
  • Computer proficiency in Microsoft Office and Google Suites
  • Familiarity with the handling of confidential information
  • Collaborative interpersonal skills
  • Self-disciplined and paced, an independent decision-maker capable of prioritizing and completing tasks
  • Creativity and basic media design skills
  • Problem-solver capable of coming up with creative solutions
