Job Summary

Job Responsibilities

 

  1. Answering telephone for the agency – first point of contact for the agency
  1. Responsible for organizing Board/Committee Meetings  
    1. Checking for room availability, booking dates in calendar, completing set-up sheets
    2. Sending notices via e-mail to all Board/Committee members
    3. Calling Board/Committee members for RSVPs
    4. Preparing materials for meeting folders

 

  1. Paperwork related to opening and closing clinical cases and sending to archives
  1. Maintaining an accurate listing of open clinical cases by individual worker, by case type and a general master list
  1. Preparing quarterly statistical reports
  1. Ordering and inventory of all office supplies, and maintaining office equipment
  1. Bookkeeping duties
      • Enter client charges from caseworker day sheets into QuickBooks
      • Taking payments from clients
      • Monthly billing
      • Verifying insurance coverage including copay/deductible payments.
      • Set up new client sub-ledger numbers
      • Update and maintain accurate case loads

      

  1. Fundraising

     

  1. Entering pledges and donations in donor database (Donor Perfect)
  2. Sending thank-you cards and letters to donors and honorees
  3. Keeping track of all RSVPs, volunteers, for Annual Fundraiser
  1. Data entry, copying, filing, and mailing/shipping as requested by Executive Director, Casework Director, and Social Workers
  1. Assisting with programs that JFS sponsors
  1. Maintaining confidentiality at all times

Qualifications

  1. Proficiency in Microsoft Word, Excel, Outlook
  2. Experience with Donor Management systems preferred
  3. 3 years office experience
  4. Ability to work cooperatively with professional staff, board and Jewish communal organizations 
  5. Engaging & flexible personality with strong organizational skills
  6. Ability to manage multiple tasks simultaneously and prioritize those tasks
  7. Ability to maintain confidentiality
