JOB SUMMARY:

The Office Administrator (OA) welcomes visitors, providing a positive “Habitat Experience” to all guests. The OA is efficient and effective at handling all calls that come in to the Front Office, and ensures follow through of agency administrative tasks. The OA provides information to families, volunteers, donors and the general public and is responsible for general office administration, including cost effective and timely office supply orders. This position is responsible for Office Safety and assists the HR Director in keeping accurate documentation of Safety Checklists Agency-wide.

Job Responsibilities

JOB RESPONSIBILITIES

The Office Administrator reports to the HR Director. Job responsibilities include:

  • Greet visitors and phone callers and assist them, providing accurate and timely information on agency activities in a positive atmosphere
  • Expedites phone calls for efficient and effective handling
  • Ensures follow through of agency administrative tasks
  • Provides information to prospective Habitat homeowners, volunteers, donors and the general public. 
  • Responsible for general office administration including cost effective and timely office supply orders, processing incoming and outgoing mail daily and maintaining the Staff Contact List
  • Facilitates and organizes Staff Meetings and Staff Events
  • Responsible for keeping all monthly checklists from all company Safety Officers and facilitating the quarterly Safety Meetings.
  • Provide support for Human Resources, including but not limited to activities related to recruitment, onboarding, salary and benefits administration, and staff events and training
  • Assist the HR Director with the job posting and interview process through the recruiting platform on Paycor. Provide assistance with initial phone calls to candidates as requested

Qualifications

QUALIFICATIONS

  • Bachelor’s degree preferred
  • Minimum of 2 years of office administrative work required.
  • Must have excellent computer skills, including data base management, Salesforce, Excel, Word , zoom and Outlook.
  • Excellent written and oral communication, telephone, and interpersonal skills are required.
  • Working knowledge of a large non-profit agency preferred.
  • Ability to interact with multiple constituencies, including a diverse population of donors, volunteers, applicants and staff.  
  • Demonstrated experience and aptitude in working with people of different cultures strongly preferred.

TIME REQUIREMENTS

  • 40 hours per week, Monday – Friday from 8:00 a.m. to 5:00 p.m. with a one hour lunch.  Occasional overtime offered. Satisfactory attendance is a requirement.

JOB PHYSICAL REQUIREMENTS

  • This position involves being able to sit for extended periods of time, as well as occasional light lifting, answering multiple phone calls and frequent utilization of a computer.
