Job Summary

The Occupational Therapy Supervisor (OTS) will advocate, rally, and lead the Occupational Therapy Department by example through positivity, confident communication, honest motivation, inspirational creativity, intuition and feedback through coaching. The OTS will bridge the gap that sometimes exists between clinical competence, financially sustainable business practices, and the positive attitude necessary to reach exceptionalism. He/she will fiercely defend and cultivate an open, uplifting, and encouraging culture.

Job Responsibilities

The Occupational Therapy Supervisor (OTS) will advocate, rally, and lead the Occupational Therapy Department by example through positivity, confident communication, honest motivation, inspirational creativity, intuition and feedback through coaching. The OTS will bridge the gap that sometimes exists between clinical competence, financially sustainable business practices, and the positive attitude necessary to reach exceptionalism. He/she will fiercely defend and cultivate an open, uplifting, and encouraging culture.

Essential Duties and Responsibilities include the following, though other duties may be assigned.

Clinical

Treatment- The OTS will diagnose and evaluate children with a variety of disorders, diagnoses, and developmental delays. He/she will select constructive activities suited to an individual’s physical capacity, intelligence level, and interest to upgrade the individual to maximum independence, prepare for school/daily living, assist in the restoration of functions, and aid in the adjustment to disability. An active caseload of treating, not only scheduling, a minimum of 20 sessions per week is required.

Coordination- The OTS will coordinate participation in sensorimotor, educational, recreational, and social activities designed to help patients develop or regain physical or mental functioning or adjust to disabilities.

Quality- The OTS will ensure therapists follow established policies and complete daily notes and evaluation reports on time.

Research- The OTS will research new therapy techniques and act as a consult to educational, medical, and other professional groups as well as fellow staff members.

Administrative

Team Meetings- The OTS will conduct regular team meetings, scheduled at his/her discretion so long as the meetings are held a minimum of once per month for a maximum of thirty (30) minutes.

Scheduling & Timekeeping- The OTS will work directly with the Central Scheduler to: 1) Ensure therapist schedules are filled to capacity, scheduling at least 40 sessions per week for full time therapists and providing prompt feedback to the Director of Therapy if a trend is noticed of decreasing referrals or excessive open appointment availability; 2) Monitor the status of wait and hold lists; 3) Reschedule or lateral patients in the event of a therapist absence; 4) Monitor the frequency of patient absences and take appropriate responsive action per policy. The OST will oversee therapist schedules and manage therapist time off.

Hiring/Terminations- The OTS will monitor the staffing needs and caseloads of the department and make recommendations to the Director of Therapy concerning the hiring of new occupational therapists. He/she will schedule and conduct phone and in-person interviews, calling references for potential candidates as needed. For all personnel changes including but not limited to hiring and termination decisions, the OTS will follow proper established procedure.

Training- The OTS will work closely with Human Resources to coordinate a smooth orientation experience and establish an effective training schedule for new team members.

Budget/Supplies/Materials- The OTS will monitor the department budget and maintain appropriate levels of occupational therapy materials and supplies, placing orders as needed.

Interdepartmental Support

Collaboration- The OTS will work in harmony with, and assist as needed/requested, the Director of Therapy, Physical Therapy Supervisor, Lead Speech Language Pathologist, Office Administration, Family Resources Lead, and other leadership and staff of Special Kids.

Funding- The OTS will work closely with Development to gather and submit data for appropriate grants to ensure the continuity and sustainability of our programs.

Requirements

Supervisory Responsibilities
Directly supervises employees in the Occupational Therapy department. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Qualifications

Qualifications

Education and/or Experience
A minimum of a Master’s Degree in Occupational Therapy with at least 4 years of professional clinical experience and a minimum of 3 years serving in a leadership capacity, which may overlap with the required 4 years of clinical experience.

Computer Skills
To perform this job successfully, an individual should have basic computer skills and the ability to learn new software and web-based applications such as electronic medical records.

Certificates, Licenses, Registrations
Active and unencumbered Tennessee State OT license and CPR certification required, membership in AOTA recommended.
