Job Summary

We are looking for an Office Manager/Receptionist to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. The duties and responsibilities of the Office Manager/Receptionist include, but are not limited to, scheduling meetings and appointments, answering phone calls, assisting with client intake, purchasing office supplies, greeting visitors, and providing general administrative support to our employees. Ultimately, by helping to improve company procedures and day-to-day operations, the Office Manager/Receptionist should be able to ensure that the office runs efficiently. This position is funded in part by, and in collaboration with, one or more grants. Personnel must adhere to goals and outcomes detailed in the grant contract. This position is funded for the duration of the grant and subsequent renewal may result in modification of job duties and responsibilities.

Job Responsibilities

Office Manager-

  • Order supplies and maintain inventory.
  • Coordinate equipment and building maintenance calls.
  • Coordinate services with office staff and, if appropriate, other offices.
  • Maintain community education materials.
  • Troubleshoot facility and office operations issues.
  • Coordinate local office onboarding of new staff.
  • In conjunction with the Managing Attorney, coordinate all volunteers in the office, including orientation, trouble shooting, and some supervision.
  • Assist in planning outreach events and in-office trainings.
  • Respond to mail and email requests for legal assistance.
  • Maintain petty cash, litigation account and client trust account.
  • Perform other duties as requested by the Executive Director, Managing Attorney, or supervisor.
  • Comply with program policies and regulations of the Legal Services Corporation and other funders.
  • Comply with all applicable organizational, professional, and legal requirements for confidentiality.

Receptionist –

  • Oversee Receptionist activities; approve timesheets and conduct annual evaluations, as designated by the Managing Attorney.
  • Oversee front desk operations, including Spanish Voicemail procedures, intake procedures and front desk back-up schedules.

Qualifications

  • High school diploma or GED.
  • Minimum of two years of experience working in an office setting.
  • Previous employment or volunteer work with a law office, court, social service agency, or other related setting.
  • Effective oral and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Basic proficiency in Windows and Microsoft Outlook, Word and Excel.
  • Demonstrate a commitment to the principle of equal justice and to advocacy for low-income persons.
  • Treat clients, staff and the public with dignity and respect.
  • Appreciate the experiences and needs of people of diverse economic, social, and cultural backgrounds.
  • Demonstrate a personal sense of integrity.
  • Take ownership of projects and produce solid work products.
  • Work as a member of a team and independently including willingness to help others (cooperative) and share knowledge, information, contacts, and experience.
  • Address issues in a timely manner.
  • Use a high level of professionalism, diplomacy, and sound judgment.
  • Handle and prioritize multiple, competing demands.
