Job Summary

The Member Relations and Program Coordinator is responsible for coordinating, assisting, and supporting the planning and execution of all member relations, programs, and special projects of the organization, inclusive of general administrative support and customer service for all member services and programs.     This position is critical in our efforts to support member child advocacy centers (CACs) and Children’s Advocacy Centers of Tennessee (CACTN) in the delivery of services.  CACTN is a statewide membership association supporting child advocacy centers in Tennessee as they work to provide investigative and healing services in response to allegations of child abuse.  This position is based in Nashville, TN, is non-supervisory, and reports directly to the Executive Director.      

Job Responsibilities

Essential Functions:

  • Coordinates meetings and events (trainings, webinars, chapter meetings, etc.) related to member services and program delivery
  • Collaborates with staff for the following:  identification of event locations; schedule events; create agendas; develop and disseminate all communication to participants; prepare materials for the event; ensure tracking of communication and service delivery; maintain meeting minutes      
  • Coordinates all special projects as determined by CACTN by preparing timelines and assignments, along with tracking progress and completion
  • Works with staff to assist in the coordination of annual conference (Connecting for Children’s Justice Conference) and supports communication with speakers, making event packets, and other related items/duties
  • Assists the Executive Director with coordination and preparation of board meetings    
  • Supports board secretary with board meeting agendas and minutes as needed
  • Coordinates organization communication directly to membership and stakeholders
  • Assists with collecting information (surveys, dues, data, protocols, etc.) from member CACs 
  • Manages, coordinates, and uses the organizations membership, program, and services database
  • Facilitates and coordinates CAC discipline specific peer support groups
  • Supports Executive Director with office management responsibilities, including mail, bank deposits, office supplies, inventory, etc
  • Coordinates and prepares written documentation and correspondence for the organization; coordinates methods of storing and tracking hard copy or electronic copy of documents
  • Keeps minutes and records of all staff meetings
  • Generates and assists with reports as necessary
  • Assists the Executive Director with various administrative functions

Support CACTN Teamwork by Supporting CACTN Policies, Shared Strategic Initiatives, Procedures, and Participating in Staff Activities:

  • Maintain knowledge of CACTN policies, procedures, and software
  • Participate in CACTN staff huddles, functional teams, staff meetings and pertinent conferences and meetings
  • Provide staff support at CACTN sponsored events, such as the annual Connecting for Children’s Justice Conference and other events
  • Perform other tasks and duties as identified by the Executive Director

Qualifications

Competencies:   

  • Strong computer skills; specifically, in Microsoft office (i.e. Word, Excel, PowerPoint, Outlook, TEAMs, etc.)  and proficiency with electronic tracking database applications and information management systems
  • Experience managing CRM software, experience with Coalition Manager preferred
  • Organized with attention to detail
  • Ability to work with minimal supervision but accountability, organize multiple tasks, and meet deadlines
  • Ability to identify problems and implement effective solutions
  • Excellent verbal and written communication skills
  • Excellent organizational and interpersonal skills

  • Preference will be given to applicants with Child Advocacy Center experience

Required Education and Experience:

  • Graduation from an accredited four-year college or university with a degree in business, nonprofit administration, or closely related field is preferred
  • Demonstrated experience in project management
  • At least three years of work experience, preferably in a member-service related field
  • Ability to carry out a variety of professionally complex assignments without detailed instructions
  • Relevant work experience in lieu of required education and experience will be considered
