Job Summary
STATEMENT OF JOB
The Manager of Fiscal Services is responsible for all execution of all financial functions of the organization in accordance with generally accepted accounting principles and works closely with the Directors and volunteer leadership to ensure the overall financial health of the organization
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
GENERAL
•Uphold the mission, positions and values of the agency (The Arc of Tennessee)
•Comply with fiscal, legal, and agency requirements
•Role model behaviors of trust, competence, vision, and inspiration
•Involve others in planning and problem solving
•Expand knowledge and skills through on-the-job, program sponsored, and outside educational opportunities
•Possess a general knowledge of The Arc as a national, state, and local organization
Job Responsibilities
DUTIES OF JOB
Financial
1. Develop the annual budget for The Arc Tennessee with input from leadership team and make
recommendations to the ED for options to best balance income and expenses
2. Update and analyze the budget on a monthly and quarterly basis, making recommendations for adjustments to the ED as appropriate
3. Complete and disseminate monthly financial documents including but not limited to budget updates, balance sheet, and investment account updates
4. Ensure timely processing of all bills and invoices and record all transactions
5. Complete all required grant reports and submit by deadline for timely payment by funders
6. Process all local chapter affiliation fees and follow up with them for payment
7. Track and follow up on outstanding payments due to The Arc Tennessee
8. Reconcile all bank accounts of The Arc Tennessee monthly
9. Maintain petty cash and reconcile monthly
10. Maintain and update financial procedures manual
11. Maintain and organize all documentation necessary for the organization’s yearly financial audit
12. Review annual 990 for discrepancies and ensure it is submitted as required
Non-profit
13. Maintain and update all paperwork related to The Arc Tennessee’s 501c3 status as required
14. Complete the annual charitable solicitations paperwork
Program
15. Maintain and organize all documentation necessary for the organization’s yearly government grant audits (FAR Reviews)
16. Oversee the yearly MCO credentialing process for ECF CHOICES
17. Participate in the MegaConference Steering Committee
18. Process stipends for the Tennessee Disability MegaConference and follow up with recipients to ensure seamless registration/payment of stipend fee
19. Assist with MegaConference activities in the office and on-site
20. Conduct all functions of representative payee for individuals for whom The Arc Tennessee supports in this area
Administrative
21.Serve as the staff liaison for Board Finance Committee including scheduling the meetings,
taking and disseminating meeting minutes and other financial documents
22. Other duties as assigned.
Qualifications
QUALIFICATIONS
• Bachelor’s degree in Accounting or similar degree preferred; Advanced degree or CPA ideal
• Five years of accounting or related financial experience required
• Experience working with volunteers preferred
• Excellent organizational skills
• Expertise in use of accounting software including QuickBooks and Abila
• Ability to clearly explain budget documents to employees and volunteer leadership
• Knowledge of non-profit accounting requirements preferred
