Job Summary

f Events and Special Projects. This position presents a unique opportunity to manage a number of our events and seminars as well as special projects.  Each year the Tennessee Chamber hosts over 50 events across the state that vary from safety trainings to major conferences and meetings with over 500 participants. The position presents a great opportunity to develop relationships with Tennessee’s most prominent business leaders, corporations, local chambers of commerce and economic development professionals.  Located in downtown Nashville, the Tennessee Chamber of Commerce & Industry is the state’s largest broad based statewide business trade association, and our mission is to enhance our business climate for both existing and new industry. The Chamber is a dynamic, fast growing organization that is focused on the success of our employees and our members. 

Job Responsibilities

Events, Seminars and Programs

Planning, promotion and operational support of all training workshops and special events

    • Utilizing ChamberMaster (database) to promote all events
    • Using Constant Contact for email marketing campaigns on event and seminar promotions; Including lists that sync from ChamberMaster and uploading new Prospect lists from EZ Select (per membership team)
    • Preparing outgoing mailings and assisting in event presentation materials as assigned
    • Assist in creating the promotional pieces to mail or email for each event
    • TOSHA event and seminar planning

 Event and Seminar Planning and Implementation

    • Developing and maintaining event and seminar sponsorship opportunities for Chamber member companies
    • Event planning and implementation of event logistics
    • Creating all events in ChamberMaster database system and tracking event participation and registrations creating name badges and table tents
    • Updating Chamber website with event information as well as updating TCCE / TEDC and TAMA websites
    • Working with vendors to order and create signs, banners, trophies, etc.
    • For some events: creating post-event surveys utilizing SurveyMonkey electronic survey creation
    • Zoom – knowledge on how to run, manage, and host existing Chamber account through virtual events
    • Assist in finding new ideas for seminars / events

 TOSHA Safety and Health trainings/seminars- The Tennessee Chamber works with the Tennessee department of Labor through their division of occupational health and safety to host on a number of employer safety trainings

    • In-state travel required: Quarterly / East / Middle and West TN
    • Secure and confirm training locations 
    • Create ChamberMaster event page for EACH training > Registration fees
    • Communication with TOSHA contact on registration numbers, material needed for printing, etc.
    • On-site event setup, including:
      • Food and Beverage
      • Materials printed – including name tags, certificates and training booklets
      • Speaker logistics support (audio, video, handouts, microphones, etc.),
      • Other necessary event-related duties as needed

 

SPECIAL PROJECTS: The Tennessee Chamber events and special projects staff also manage three trade associations that are affiliated with the Tennessee Chamber. The Tennessee Chambers of Commerce Executives (TCCE), Tennessee Economic Development Council (TEDC) and the Tennessee Automotive Manufacturers Association (TAMA) include the following duties (below). In addition, general Marketing and Communication tasks are also assigned to promote events or general Tennessee chamber initiatives.

  

  • TCCE / TEDC / TAMA: Invoicing dues for TCCE and TEDC using (Stripe and ChamberMaster) and Logging checks in ChamberMaster & Excel
    • Website updates/changes in Expression Engine for all organizations and general meetings and support
    • Assist with compiling annual print directory TCCE/ TEDC
    • Support events TCCE / TEDC / TAMA
    • Assist with mailings – including annual dues billing TCCE/ TEDC
    • Marketing and Communication tasks as assigned to support events or specific Chamber initiatives.

The position also maintains the following general duties regarding Chamber Support:

 

  • Coordinate general communication and maintenance of Chamber affiliate websites:
    • Tnchamber.org
    • Tnmfg.org
    • TAMA *new site finished soon
    • Tncce.org
    • Tnedc.com
    • Monitor info@tnchamber.org website and direct inquiries to appropriate staff
    • Coordinate Chamber Monday ‘Look Ahead’ content– weekly email blast to all members, TCCE, TEDC that includes Chamber Affinity Program Spotlights and Event information.

Qualifications

  • Ability to work independently, proactively, and collaborative within an organization is crucial.
  • Bachelor’s degree from a four-year accredited educational institution
  • Understanding of non-profit or local chamber operations, and volunteer management as familiarity with social media, website updates and publishing platforms for event promotions
  • Minimum 3 years experience working at local chamber of commerce, economic development agency or other similar not for profit attaining event management and marketing experience
  • Excellent organizational, written communication, technological and verbal presentation skills
