Job Summary
The Refuge Center for Counseling’s mission is to offer affordable, professional counseling services in order to empower, educate, and support individuals, couples, and families in need.
Purpose of the Position: The Intake Specialist and Front Desk Administrative Assistant are responsible for providing intake services, including assessing and screening clients prior to assigning and scheduling with a therapist. This position is also a “front line” connection with Refuge clients and/or future clients as well as scheduling intakes, managing the waitlist, and scheduling appointments for intakes.
Job Responsibilities
Specific Duties
- Provide comprehensive assessment, including completion of intake paperwork for all new clients to The Refuge Center for Counseling.
- Perform a clinical intake to determine client needs and provide follow-up information for scheduling.
- Assist in the detection of “at risk” clients and direct referrals, as appropriate.
- Complete client documentation and setting of fees.
- Answer inbound phone calls and return voicemails, as needed
- Schedule new client intake appointments.
- Schedule clients with counselors based on client needs and best fit.
- Maintain thorough documentation in the electronic medical records system.
- Maintain the Therapist Preferences document to reflect current therapist preferences.
- Assist client with general questions about The Refuge Center and counseling processes.
- Provide support for the Hospitality Coordinator by providing assistance for walk-in clients, as needed, and maintaining hard copies of client intake paperwork, etc.
- Perform special projects or other duties as assigned by the Clinical Director or Front Desk Supervisor.
- Attend staff meetings on the 3rd and 4th Tuesdays.
- Communicate general clinical information, when appropriate.
- Respond to emergency calls and mandated reporting needs according to established procedures and sound judgment.
- Respond to emails and voicemails in a timely manner.
- Maintain work area in a neat and orderly manner.
- Perform duties in a professional manner while exhibiting a courteous and cooperative demeanor to clients, co-workers, management, and the public.
- Maintain strict confidentiality both internally and externally.

- Maintain ethical documentation.
Skills, Education, Experience
- Minimum of one year of experience working in a clinical setting.
- One year of case management experience is preferred.
- Strong written and verbal communication skills.
- Must possess superior time management and organizational skills with the ability to coordinate multiple schedules based on individual preferences and guidelines.
