Job Summary

The primary purpose of this role is to ensure the efficient management of human resources operations at the University School of Nashville. This includes administering payroll and employee benefits, supporting recruitment and onboarding processes, and maintaining accurate financial and employee records. The role also involves assisting with compliance, employee relations, and general administrative tasks to foster smooth operations within the Business Office and across departments, contributing to an organized, compliant, and supportive work environment.

 

Job Responsibilities

Recruitment and Onboarding:

  • Managing hiring and onboarding processes for each department and division, including job posting across various platforms.
  • Supporting recruitment efforts, assisting hiring managers with training resources and interview skills.
  • Assisting with offboarding processes, including collecting necessary paperwork, updating employee records as needed.
  • Managing and writing all offer letters in conjunction with the Director’s Office and Hiring Managers.
  • Serve as the secondary point of contact for coordinating and communicating Benefits Open Enrollment and new employee onboarding.
  • Add/remove employees in Folio as a part of the onboarding/offboarding processes.

Compensation and Benefits:

  • Managing the administration of  semi-monthly and monthly payroll in collaboration with the Controller and HR Director. 
  • Writing PAFs for all departments and divisions and forwarding as necessary.
  • Writing and managing yearly contracts for all employees in conjunction with the Chief Financial Officer.
  • Assisting with employee benefits, such as health insurance and retirement plans, and serving as a secondary point of contact for employee questions and concerns.
  • Assisting with compliance for federal and state statutes such as FMLA and ADA by providing administrative support to employees and supervisors.

Employee Relations and Communication:

  • Assisting with maintaining employee files and ensuring compliance with state and federal regulations.
  • Assisting with the development and implementation of employment policies and employee handbooks as needed.
  • Managing the HR Resource portal on the USN website.
  • Curating and writing the monthly Business Office Newsletter.
  • Serving as a secondary point of contact for employee questions related to HR processes, benefits, and policies.

General Administration:

  • Manage the Human Resources Management System in conjunction with the HR Director. 
  • Supporting employees who need assistance with basic HR tasks.
  • Assisting with various administrative tasks, such as answering phones, scheduling appointments, and maintaining shared office supplies.
  • Assisting with external audits, financial statement preparation, and reconciliations.
  • Collaborating with other departments to ensure smooth school operations.
  • Supporting the Business Office with various projects and initiatives as needed.
  • Performing other duties as assigned by the Human Resources Director. 

Qualifications

Required Skills/Abilities:

  • Ability to prioritize tasks and to delegate them when appropriate.

  • Thorough knowledge of employment-related laws and regulations.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with Paycom or or similar payroll platform preferred. 
Education and Experience:
  • Bachelor’s degree in Human Resources, Business Administration, or related field required.
  • A minimum of three years of human resource experience is preferred.
  • SHRM-CP or SHRM-SCP are highly desired.
Physical Requirements: 
  • Prolonged periods of sitting/standing at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.  
  • Must be able to access and navigate each department at the organization’s facilities.
