Job Summary

Consistent with the Christian mission and vision of the YMCA of Middle TN, and in cooperation with other YMCA staff, under the direction of the Senior Director of Development and Administration, the Human Resource Coordinator/Office Manager is responsible for providing direct human resource support to camp employees while maintaining confidentiality of all employee information. The Human Resource Coordinator/Office Manager is also responsible for supporting camp registration, and all administrative functions in the day-to-day operations of the business office.

Job Responsibilities

  • Model and puts into practice behavior that supports inclusion and diversity
  • Accurately prepare and process payroll, maintaining all required payroll documentation as required; monitor labor reports for accuracy
  • Function as the primary contact for assisting departments and employees with any payroll questions, including PTO requests and approvals; consults promptly with the Payroll Department on any issues
  • Approve new hire paperwork to ensure all forms are completed and acceptable documentation is provided; maintain all employee and employment records accurately and in compliance with approved guidelines and standards of the Association
  • Notify Executive Director and People Services of any human resource policy violations
  • Serve as “Training Champion” for employee training, working as a liaison between camp and the Association to ensure employees are aware of and receive training opportunities
  • Responsible for tracking completion of required trainings and certifications and ensures all camp staff certifications are current and in compliance with job description requirements
  • Processes daily, weekly and monthly reports such as cash distribution, petty cash, expense summary accounts, accounts receivable, Strong Kids, month-end and other applicable reports
  • Make weekly bank deposits and distributions
  • Perform camp registration, changes, cancellations and other guest transactions in an efficient and accurate manner
  • Manage electronic communication between camp and camp families
  • Set up on-line registration and scholarship application process
  • Provide oversight on the hiring process for all camp departments, including posting all open positions, facilitates the interview process, ensures completion of background and reference checks, completes all new hire I-9s through E-verify, and ensures all new hire paperwork and required certifications are completed
  • Prepares materials and arranges catering for Board Meetings
  • Takes accurate and detailed minutes at Board meetings and distributes to board members following meetings
  • Knows and administers the appropriate EAP (emergency action plan) for any situation, including first aid, CPR, work-related employee injuries, etc., follows appropriate safety guidelines
  • Maintains office equipment, including copiers, fax and postage machines; orders office supplies as needed
  • Manages the front desk and displays excellent customer service when answering phone calls
  • Oversees electronic employee files to ensure all required paperwork is completed and maintained; validates and verifies all new hire paperwork and personnel changes
  • Attend HRC Cabinet meetings and related trainings
  • Serve as HR point-person and ensure adherence to employee handbook guidelines and policies

Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community

  • Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative
  • Must be highly organized with the ability to work under pressure and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required
  • Minimum 18 years of age
  • Two-year college degree or minimum three years’ work experience in an office management and/or accounting role is required; human resources experience preferred

Certifications Required:

  • Before start of 1st shift: New Hire Orientation training
  • Within first week of hire: Y-USA New Employee Orientation Online Course
  • Within two weeks of hire: Payroll and Budget Builder training
  • Within 30 days of hire: Basic Life Support, First Aid, and Emergency Oxygen
  • Within 30 days of hire: Membership Software and Raiser’s Edge training
