Job Summary

The Fundraising & Event Coordinator is responsible for managing a variety of tasks that are critical to support the ongoing operations of Centennial Park Conservancy, including memberships, donations, Parthenon events, deposits, and administrative duties.

ABOUT CENTENNIAL PARK CONSERVANCY

The Parthenon and Centennial Park have been essential parts of Nashville’s fabric for more than a century. As a 501(c)(3) nonprofit support organization working in partnership with Metro Parks, Centennial Park Conservancy is committed to our mission of preserving, enhancing, and sharing the Parthenon and Centennial Park so that future generations may benefit from these enriching cultural and educational landmarks. The organization is responsible for a variety of initiatives focused on maintaining the park’s vibrancy. Centennial Park Conservancy has several areas of focus, including: The Parthenon – a full scale replica of the Grecian monument, fine art gallery, and museum that curates exhibits and presents educational programs to over 300,000 visitors annually; Musicians Corner – an outdoor music series attended by 75,000 people annually that presents free, diverse, and accessible live music for people of all ages and socio-economic groups; Kidsville – an educational program that serves over 10,000 children (ages 2-12) annually and provides free activities in the Parthenon, Centennial Park, Community Centers, and outreach locations across the city; Nashville Earth Day – the city’s official event celebrating and protecting our environment; Centennial Park Revitalization – a public and private partnership with Metro Parks to revitalize Nashville’s central park to serve our residents and visitors.


Job Responsibilities

Fundraising & Financial Support

  • Sustain and grow the organization’s memberships by retaining and attracting members through various communications, including phone, email, and direct mail
  • Enter donor, member, and sponsor pledges and deposits into NEON customer relationship management software; make remote bank deposits; maintain supporter database and provide reports as needed
  • Write, print, and mail ongoing member, donor, sponsor, and grant correspondence, including membership renewals, donor acknowledgement letters, and other communication materials; create mailing lists for direct mail
  • Work with gala committee to support fundraising for the organization’s annual gala, including mailing lists, donation reports, and acknowledgement letters; manage other gala tasks as needed
  • Work with Executive Director and Marketing Manager on annual fundraising campaigns, including: Spring Campaign, Big Payback, and Giving Tuesday

 

Event Support

  • Support the Parthenon Partnership Director by assisting in the sales and coordination of private events at the Parthenon 
  • Serve as a client liaison by conducting Parthenon site visits and assisting in advancing event details, including collecting necessary documentation, payments, and vendor coordination
  • Act as the organization’s representative on-site during private events at the Parthenon; approximately 20-40 annually
  • Provide staffing support for Parthenon programming events, including gallery openings, lectures, and ECHO; approximately 8-12 annually
  • Provide planning and staffing support for additional events, including Gala and Earth Day
  • Assist with additional tasks and projects as needed to support the organization and its programs

 

Volunteer Support

  • Schedule and track volunteers for Architecture Tours, Kidsville events, and Nashville Earth Day
  • Collaborate with Parthenon staff on museum docent program as needed

Board Support

  • Serve as a liaison to the board of directors; assist in scheduling, document preparation, and set-up of board and committee meetings, including agendas, RSVPs, catering, minutes, and board surveys; manage other board-related tasks as needed

Office Management Support

  • Answer phone and greet visitors; maintain office filing and administrative records; pick up and distribute mail; perform other tasks as needed
  • Update Annual corporate registrations and filings

Qualifications

  • Strong organizational, project, and time management skills; exceptional accuracy and attention to detail; ability to perform and prioritize multiple tasks seamlessly
  • Proven expertise in working with clients, including planning, managing, and staffing events
  • Experience managing administrative, financial, and correspondence tasks; knowledge of customer relationship management software a plus
  • Exceptional written and verbal communication skills
  • Proactive worker and team player who works collaboratively to achieve mutual goals 
  • Ability to manage sensitive and confidential information with discretion
  • Strong knowledge of computers, including Microsoft Office and Google Drive programs
  • Availability to work evenings and weekends as needed for events
  • Prior experience working in a nonprofit, sales, and customer service a plus
  • Ability and lift up to 40 pounds
