Job Summary

Consistent with the Christian mission and vision of the YMCA of Middle TN, and in cooperation with other YMCA staff, under the direction of the School Age Program Specialist, the Area Coordinator is responsible for implementing day to day operations including management of staff, quality programming, implementation of curriculum, activities, and meeting all DHS requirements for School Age Before and After School site.  The Area Coordinator will supervise site staff and their activities and will be responsible for assisting in the supervision of additional School Age sites. The Area Coordinator will be responsible for providing a School Age program that will ensure the participants’ safety at all times and foster children’s social, physical, spiritual, and mental growth. The Area Coordinator will maintain positive relationships with YMCA staff, school staff, and School Age participants.

Job Responsibilities

  • Model the YMCA core values: Caring, Honesty, Respect and Responsibility
  • Development vision, mission and philosophy into the daily implementation practices at each site
  • Provide comprehensive program support to a cluster of YMCA Fun Company Program Sites, which incorporate a youth development approach to student engagement
  • Ensure that staff understand and comply with all YMCA Fun Company program guidelines, YMCA of Middle Tennessee procedures and policies, DHS regulations and school policies and procedures
  • Ensure that each site is staffed to meet the Fun Company/DHS employee-to-child ratio by recruiting, interviewing and making recommendations for personnel hiring and placement
  • Create, maintain and foster a positive relationship between school and school staff by periodically checking in, meeting, and asking for feedback from Principal, teachers, office, and custodial staff in each school
  • Incorporate an understanding of multiple learning modalities & how to engage adults in a learning environment through effective coaching, listening, questioning and planning skills
  • Ensure that each Y Fun Company site operates a program that is physically and emotionally safe for all children/youth and employees
  • Coach Site Directors in identifying best practices and strategies around successful program implementation through effective problem solving, strategic planning, goal setting and critical thinking
  • Ensure that all staff understand and are able to execute emergency safety procedures
  • Ensure that all necessary site documents are accurately completed and submitted in a timely manner to the appropriate receiver (on site and in the administrative office)
  • Maintain strict confidentiality around all student and staff information
  • Create conditions for collaboration and shared leadership, which encourages ownership, accountability, and learning at all levels
  • Ensure Site Directors follow daily activities outlines; implement a daily curriculum that meets YMCA guidelines; and maintain weekly lesson plans, calendars, and daily recordkeeping
  • When needed be able to lead and engage a group of 15 to 20 (DHS maximum is 20) children in activities outlined by the site director either inside or outside program areas and during transition times
  • Advise and assist staff in planning unique activities based on the interests and talents of the staff and the interests and needs of the children enrolled that are developmentally, linguistically and culturally appropriate
  • Assist staff in articulating the connection between activities being implemented, what children learn through these activities, and how these activities align with and support state/local educational plans/standards
  • Advise and assist staff in facilitating learning and enrichment through activities rather than employing direct-instruction techniques
  • Ensure that each site implements all Y Fun Company core components
  • Work collaboratively with FC colleagues to provide quality leadership for cluster sites
  • Create and model our Improving Health Strategies and assist site staff with implementing these strategies at their sites to increase physical activity and healthy eating in the programs
  • Assist in controlling and maintaining supplies and inventory on site and purchase and maintain snacks
  • Supervise staff including schedules, staff coverage, and time sheets; assist in training and developing part-time staff
  • Attend all staff meetings and in-service training as required by the program staff
  • Participate in YMCA volunteer programs and the Annual Giving Campaign
  • Attend and/or conduct parent conferences when needed and attend parent/teacher conferences
  • Visit sites a minimum of one time weekly for a quick check/evaluation and once per month for a full evaluation; hold bi-weekly staff meetings
  • Maintain citywide policies and procedures; monitor state licensing standards and be able to conduct a licensing inspection at the School Age site
  • Manage individual files, accounts receivable, and collect fees and monitor to ensure that they are current and complete
  • Build and support parents of our youth by providing parent education classes and seeking reflection/feedback on a regular basis regarding needs of current youth being served
  • Collaborate with YMCA centers, other Youth Development Programs and service providers to provide support services for youth in the programs
  • Be present and visible in the programs; this is a traveling program supervisor position which ensures compliance, provides supervision and support to offsite cluster programs
  • Carry out special projects and events as assigned by program staff

Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community

  • Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative
  • Must be highly organized with the ability to work under pressure and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required
  • Ability to work a flexible schedule, including evenings and weekends
  • Minimum 18 years of age
  • High school diploma or equivalent and Tennessee Early Childhood Training Alliance (TECTA) certificate for completing thirty hours of orientation training, or the equivalent as recognized by the Department and four years of experience in child development or related experience;
  • OR
  • Two years of college (30 hours of which shall be in business or management, child or youth development, early childhood education or related field) and two years of experience in a group setting;
  • OR
  • Four-year degree and one year of full-time (paid or unpaid) experience in a group setting
