Job Purpose

The primary objective of the Front Office Lead is to serve as the primary point of contact for patients at the satellite office.  This role facilitates communication between patients, clinical staff, and community partners.  A vital component of this position requires maintaining a strong patient focus while managing the multiple demands of the front desk.

Job Responsibilities

Primary Duties and Responsibilities

  • Greet, assist and direct patients and visitors appropriately
  • Register each new patient by obtaining all necessary demographic information and creating their electronic medical record according to established procedures
  • Confirm appointment details, update account information, and request necessary documentation
  • Encourage patient compliance with all patient policies
  • Manage incoming calls including taking messages and referring calls to triage and others as required
  • Check out patients at the conclusion of their appointments and schedule follow-up appointments as needed
  • Scan transferred medical records and patient information forms into the EMR
  • Manage patient records and other pertinent correspondence within the EMR to ensure proper storage and access for staff
  • Ensure that the patient’s medical release authorization is updated every year and gather updated documentation as needed
  • Collect and post patient payments
  • Balance the cash drawer at assigned times each day
  • Maintain consistent communication with the Director of Patient Relations and Patient Engagement Specialist (PES) about satellite office policies and procedures so they are consistent with those at the main office
  • Work with the PES to establish and maintain new patient enrollment and referral processes when patients transition from the Antioch clinic to the Melrose clinic
  • Manage Antioch’s front desk administrative tasks such as patient cases in the EMR and delegate them to other team members as needed
  • Request medical records from other medical practices and import them to the EMR as requested by the clinicians
  • Assist the Director of Patient Relations in onboarding and training newly hired PR staff and contract workers at the Antioch clinic

 Other Duties

  • Keep track of front desk supplies and send orders to the Practice Manager in a timely manner
  • Pursue personal development of skills and knowledge necessary for the effective performance of the role
  • Participate in on-going quality improvement (QI) activities within the roles defined above
  • Other duties as assigned by the Director of Patient Relations


Education and Experience

  • High school diploma, GED, or other relevant degree preferred
  • Two years of front desk experience in a medical office preferred


  • Able to work independently, think creatively, and troubleshoot problems with little oversight
  • Capable of thinking critically and make decisions with confidence
  • Flexible and able to adapt to changing circumstances
  • Passionate about Christian ministry to the underserved and in full agreement with Siloam’s mission and core values
  • Willingness to serve persons with limited access to healthcare and who are from different cultures and faith beliefs
  • Computer literacy and familiarity with MS Office products
  • Adherence to OSHA and patient confidentiality requirements
  • Ability to work well in a team setting
  • Familiarity with medical terminology is preferred
  • Bilingual preferred (English/Spanish or English/Arabic)
