Job Summary

Title: Front Desk Coordinator

Based at: Interfaith Dental, Nashville TN

Rotations possible at: Interfaith Dental, Murfreesboro, TN

Job Purpose:

To effectively keep all records and schedules of dental providers and their patients as well as administrative and general office duties pertaining to patient care, so as to maintain and uphold the mission of Interfaith Dental Clinic

Job Responsibilities

Key Responsibilities and Accountabilities:

· Promote hospitality and respect for all patients and provide compassionate care for all in accordance with our mission

· Answer phones and address patient needs

· Effectively navigate patients (phone calls and walk-ins) who are not a fit for our program into other programs to help them achieve their dental goals

Patient Check In:

· Check voicemails as needed

· Patient check-in

· Insurance Verification

· Have consents signed, if necessary, including treatment consent

· Get responsible party to sign TennCare Agreement for Non-covered serves

· Collect required paperwork/documents (driver’s license, medical history, EPRF, etc) and importing into patients record.

Patient Check Out:

· Patient check-out

· Maintain an accurate ledger and record proper adjustments; confirming each post to the ledger is accurate as patients check out

– Review ledger for discrepancies in procedures set complete in relation to walk out slip

· Collecting payments and posting to ledger

· Making any needed adjustments to he ledger per the doctor and/or agreements with special programs.

· Review family file to see if any prior balances need to be collected in addition to today’s charges

Appointment Book:

· Scheduling patient’s next visit as needed and indicated on walk out slip

· Confirm appointments at least 2 days in advance if not confirmed through solution reach

· Removing patients from the schedule that fail to confirm 2 days in advance and filling that appointment with another patient.

· Aid in maintaining a full and manageable patient schedule

Additional Responsibilities

· Complete Opening Procedures (count drawer to begin the day, unlock doors, listen to voicemails)

· Participate in providing warning letters, dismissal letters and graduation letters to patients

· Participate in community outreach as directed by the dental director or development department

· Ensure deposit and cash drawer are balanced

· Help maintain reception area and bathrooms

· Provide Back- Up to Outgoing patient Care Coordinator


Performance Requirements:

o Must be proficient in Microsoft word and be able to use/show proper grammar and professionalism in speech and writing

o Minimum of 1 year of experience in reception or patient care required
