Job Summary

This position exists to relieve our accountants of detail-oriented transaction work, in order to be more cost-effective, to assist the Treasurer, and to elevate the importance of financial issues by providing an ongoing presence in the office.

The Financial Coordinator primarily maintains our donation records, makes deposits, manages the credit card donation system, sees that bills are paid and recorded, and helps manage payroll.  The employee assists the Treasurer by providing monthly reports and trouble-shooting accounting problems.  The employee assists our accountants, church staff and volunteers, notably those in finance, stewardship and fund-raising.

The Financial Coordinator will report to the Office Manager, who may delegate supervision of some tasks to the Treasurer.

Job Responsibilities

The following statements are intended to describe the general nature and level of work being performed by persons assigned to this job. However, these statements are not exhaustive and cannot anticipate all possible duties and requirements which may arise in the course of the position.

  • Liaises with church ministers and staff, accounting firm staff, and vendors; and provides assistance and information to church volunteers as needed.
  • Meets on a periodic basis with Treasurer.
  • Reconciles, deposits (when applicable), records, and maintains records of all donations received whether by offering plate, mail, credit card, or other electronic means. 
  • Reconciles the monthly “Share the Plate” donations for distribution to the recipient organizations.
  • Reviews all incoming invoices, check requests, and staff credit card usage, and ensures that payments are made accurately and timely.
  • Works with Office Manager to ensure that payroll is processed timely and accurately.
  • Provides information to our accountants to ensure that all income and expenses are properly recorded.
  • Reviews bank records, providing cash flow reports, and notifying accountants and Treasurer of any issues.
  • Manages the credit card donation website(s) using Breeze database online giving and Stripe online giving through auction website Auctria.
  • Prepares quarterly contribution statements to members and friends and annual tax notices to all donors.
  • Maintains records with UUA for compensation and benefits.
  • Maintains information in confidence.
  • Maintains secure access and records of all internet access IDs and passwords.
  • Ensures all financial records are securely archived in hard copy and digital versions.
  • Assists with financial aspects of stewardship drive and fund-raising events.
  • Assists with special projects assigned by Treasurer.

Working Conditions and Requirements:

The employee will be able to set working hours with approval of supervisor but may be required to be available to work on an irregular basis, including evenings, and answer email on an ad hoc basis.  The employee may be allowed to work remotely at times with approval of supervisor.  The employee must notify supervisor of intended schedule and must be able to work cooperatively with other members of the staff and with volunteers.

While performing the duties of this job, the employee may be regularly required to sit for extended periods of time, use hands in repetitive motion tasks, handle objects, talk and hear. Specific vision abilities required include close vision, depth perception and ability to adjust focus. The employee will normally work in a shared office but may be required to work in the church building at least one weekday during the week.  The noise level is usually quiet in both the office and church building at these times.

Qualifications

  • College education preferred
  • Experience in a bookkeeping or accounting position preferred
  • Knowledge of accounting principles
  • Knowledge of and experience with database systems preferred
  • Knowledge of Microsoft Office (especially Excel) and Intuit QuickBooks
  • Extremely detail-oriented
  • Good verbal and written communication skills
  • Ability to maintain confidential data
  • Quick learner

  2. Choice of any health insurance plan offered by the Unitarian Universalist Association with premiums paid by employer at 40% for employee and 25% for dependents. If employee chooses a high-deductible option that is eligible for Health Savings Account, employer will contribute $62.50 to the Account.
