Job Summary

The Finance Manager is responsible for the financial operations of the Middle Tennessee Research Institute (MTRI), including maintenance of QuickBooks records, invoicing, payments, payroll, and reporting. This position requires discretion and independent judgement. This is an exempt position that reports to the Executive Director.

Job Responsibilities

  • Manages general financial operations to support medical research and hospital-based education programs.
  • Records all financial transactions in QuickBooks, correctly allocating direct and indirect costs for all MTRI research and education projects.
  • Tracks and complies with financial reporting requirements for project grants and contracts and ensures adequate internal controls are in place to address the completeness and accuracy of all financial records.
  • Appropriately tracks and stores all financial documents, and maintains all MTRI financial files (hard copy and electronic).
  • Provides financial records required for annual GAAS audit, preparation of IRS 990, VA Nonprofit Program Office (NPPO) annual reports, and triannual NPPO audits.
  • Provides monthly project financial reports to principal investigators.
  • Provides quarterly and fiscal year-end financial reports to the Board of Directors.
  • Conducts monthly reconciliation of QuickBooks accounts with Raymond James bank statements, in collaboration with board treasurer.
  • Submits payroll to ADP, and downloads payroll details to QuickBooks.
  • Oversees distribution of annual W-2 and 1099 forms.
  • Fulfills purchase orders for MTRI account holders and other requests for reimbursement.
  • Maintains VERANNE IT/Fixed Asset Log, and conducts annual asset inventory.
  • Coordinates with clinical trials study staff to ensure correct sponsor invoicing for clinical trials.
  • Works with affiliated VA and academic partners to ensure prompt and accurate payment of project staff salaries.

Qualifications

  • Bachelor’s degree in finance or business preferred, or high school diploma with equivalent experience
  • Two years of bookkeeping and financial management experience
  • Experience with research grant management preferred
  • Documented expertise with Quickbooks
  • Excellent attention to detail
  • Strong working knowledge of utilizing an internal control framework
  • Strong organization and communication skills
  • Ability to work independently and meet deadlines while handling multiple projects

MTRI offers vacation time and sick time.  We do not provide other benefits, however do provide a 25% stipend in lieu of other benefits.
