Job Summary
Our Executive Assistant is retiring, and we’re looking for a new person to take on this never boring part-time position!
TFC’s Executive Assistant to the CEO/Board serves as a key organizational anchor through their role in coordinating and carrying out administrative support, specifically duties and deadlines related to: CEO calendar/scheduling/support; Board Meeting & Committee Scheduling, Board correspondence, board member timelines, board related documents, etc; co-facilitates annual fiscal audit, annual 990 completion, as well as assists with other government related funding audits .

This position helps prepare/administrate required agency reports for the Center related to annual accreditation and various audits. This position also requires significant flexibility with a high skill level of time management to coordinate and prioritize shifting responsibilities and deadlines, especially given that it’s only 20hrs/week. Except for required meetings, schedule can be flexible.
Job Responsibilities
- completes a broad variety of administrative tasks for the President & CEO including managing an extremely active calendar, expense reports, and assisting in other areas as needed
- conserves CEO’s time by reading, researching, proofing documents, and editing information as requested
- maintains confidence and protects operations by keeping all information confidential
- provides support as needed for Board Chair and others as needed
- attends all Board Meetings to record and then prepare minutes
- assists in ensuring the CEO and Board are in compliance with the Bylaws
- schedules Board meetings, distributes meeting documents ensuring materials are distributed in a timely manner
- sets up meeting room and/or Zoom (for virtual participants)
- prepares orientation materials for new board members
- ensures all board members sign annual required documents
- schedules board committees (and assists as needed)
- co-facilitates fiscal year audit, IRS form 990, Secretary of State Annual Report, and Department of Children’s Services audit
Qualifications
- Bachelor’s or equivalent work experience
- 3 to 5 years of administrative experience
- outstanding organizational and time management skills
- ability to use good judgement, discretion, and hold confidences
- high levels of initiative and integrity
- very strong interpersonal skills
- ability to build/maintain relationships with key stakeholders
- proficient in Microsoft Office

- nonprofit experience preferred but not required
- bilingual or conversational Spanish a bonus
