Job Summary

The Executive Administrative Assistant provides executive-level administrative support and management to the Office of the Bishop and to assist the Bishop and the Assistant to the Bishop to achieve the mission and goals of the Tennessee-Western Kentucky Conference and the Nashville Episcopal Area. Works alongside the Bishop and the Assistant to the Bishop providing strategic support that will enable them to achieve objectives that will impact all areas of the Tennessee-Western Kentucky Conference.

Job Responsibilities

  1. Provides administrative support and management to the Bishop’s office in all areas including handling inquiries, maintaining and protecting calendar, prioritizing and delegating work, handling requests, prioritizing conflicting needs, and overseeing general office clerical tasks; participates in the planning, coordination, and implementation of goals and objectives of the Bishop’s office to support the mission, vision, and values of the Tennessee-Western Kentucky Conference.
  2. Ability to make sound, independent decisions in the absence of the Bishop and the Assistant to the Bishop on matters not related to clergy status.
  3. Flexibility in work hours is required as needs constantly change, and adjustments sometimes must be made daily on beginning and ending work schedules. May be required to answer correspondence and questions beyond or after business hours.
  4. Manage all preparations for meetings and special events including scheduling, meals/catering, room set-up, travel/hotel reservations, obtaining materials from staff, etc.
  5. Communicates and collaborates with various Boards, committees and teams across the United Methodist connection including, but not limited to, district administrative assistants, conference staff teams, etc.
  6. Research, design, and create correspondence and other documents on behalf of the Bishop. This would include drafts and proofreads memos, letters, reports, meeting agendas, blog postings and other documents; monitors and responds to electronic mail for the Bishop; oversees mailings and ensures accuracy of mailing lists.
  7. Performs other duties as assigned by the Bishop and the Assistant to the Bishop.

  • Computer Savvy: Strong computer skills, including Microsoft Office-Word, Excel, PowerPoint, Outlook.  Proficiency with office equipment, phones systems, and audio/visual/sound equipment; proficiency with electronic meeting formats such as Zoom
  • Attention to detailHas experience with and is excellent at paying attention to details. Works well in ambiguity and brings order to chaos.

Education and Experience Requirements:

  • Bachelor’s degree.
  • Minimum 5 years’ administrative experience in a corporate office environment; at least two years’ experience supporting an executive.

Physical Requirements: 

While performing the duties of this job, the employee will be in an office environment.  The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.  This position frequently communicates with the public and other co-workers on church related business.  Must be able to remain in a stationary position 50% of the time.  Employee must occasionally lift or move office supplies or other items weighing up to 25 pounds.  Minimal travel to other conference locations for cabinet meetings and annual conference meetings in the conference area will be required.

Work Schedule, Number of Hours, & Compensation:

  • Full-time, Monday through Friday, with occasional night and weekend work required. 
  • Work location: Tennessee-Western Kentucky Conference office located at 304 S. Perimeter Park Drive, Nashville, TN  37211. 
  • Fulltime employees are eligible for medical/dental/vision insurance on day one.
  • Full-time employees are eligible for 403(b) retirement savings plan on day one with a generous employer match of 12% for an employee contribution of 3%.
