Job Summary
The Andrew Jackson Foundation is seeking an energetic professional to manage the organization’s wedding and event department. Qualified candidates must have a can-do mind set eager to ensure client loyalty and promote the Foundation’s commitment to excellence.
Job Responsibilities
- Attend weekly meetings with SVP for Institutional Advancement
- Attend bi-weekly External Affairs staff meetings
- Attend monthly Management staff meetings
- Work in partnership with other members of the External Affairs team to plan and execute Foundation programs and Development fundraising events (Spring Outing and Hermitage Gala)
- Follow up on all requests for information
- Follow up on all wedding leads
- Provide site visits for current and potential clients
- 3 site visits per week
- 10 prospective client/client contacts per week (email, phone calls, mail)
- Sell and close bridal dates to ensure organizational goals are met
- Attend, supervise and direct both ceremony and receptions for bridal clients.
- Provide leadership and direction to on-site event coordinators
- Report event coordinators hours
- Ensure all information is communicated to site operations team two weeks prior to each event or wedding
- Attend weekly site operations meetings
- Complete event forms and attach to the event calendar
- Document all events in Tessitura
- Execute client invoices and purchase orders
- Execute all pre-event documents including itineraries and floor plans
- Organize wedding ceremony and day of logistics
- Organize non-bridal event logistics
- Attend Tennessee Wedding and Event Specialist Association (TWESA) meetings
- Establish and maintain relationships with wedding planners, vendors, and other wedding industry professionals
Qualifications
Qualifications
- Bachelor’s degree required
- A minimum of two years of professional event experience
- Excellent computer skills
- Strong organizational and time management skills with exceptional attention to detail
- Ability to work both independently without close oversight, but also a team player who will productively engage with others at varying levels of seniority within and outside of the Foundation
Experience, skills, and abilities requirements
- Past experience in managing events at public or private locations is essential as well as excellent customer service skills.
- Knowledge and the ability to complete full planning services for weddings and events is preferred.
- Clear verbal and written communication skills; courtesy and discretion in dealing with the public and other employees; interpersonal, customer and staff friendly
- Present a professional demeanor and appearance.
- Social media experience including Instagram, Facebook and Pinterest is preferred.
- Wedding coordination experience is preferred.
Physical Requirements
Ability to perform moderate physical work: stooping, bending, climbing, and lifting up to 20 pounds unassisted; must be able to work in all weather conditions. Work days may occasionally exceed 12 hours during events.
