Each year, Friends of Franklin Parks (FOFP) hosts many events. The high season typically runs from April – October. Examples of the events we host include FOFP’s Raise the Roofs, the Splash & Dash Fun Run, Harlinsdale Bridge Dinner Over the Harpeth, 10+ equestrian shows, community volunteer days, community outreach days with local children’s organizations, board member receptions, and appreciation events – ranging from 10 to 650+ attendees. The Events Manager reports to the Executive Director of Friends of Franklin Parks (FOFP) and will enthusiastically promote the mission of our organization within and around the local community while being the primary contact for events. Position requirements include organizing all aspects of events including logistics, recruiting volunteers, and increasing equestrian events in the arena. This role will also assist in fundraising, creating special events for donors, and leading other projects to help ensure the organization meets its annual goals. This position is a full-time position (40 hours a week with flexible office hours balanced with occasional evenings and weekends, depending on the needs of the role and schedule of events).
Job Responsibilities
Essential Job Functions:
- Coordinate all aspects of events, large and small, annual fundraising events, programming, and special events
- Work collaboratively with all FOFP team members and volunteers, developing the priorities, strategies, concepts, themes, and formats of events that serve different organizational purposes
- Negotiate costs and services with vendors and coordinate the logistics
- Coordinate the run of the show
- Coordinate on-site event components (e.g. signage, banners, sponsor benefit placements)
- Coordinate post-event follow-up with vendors, sponsors, and staff
- Build, manage, and promote relationships with vendors, Franklin Parks, volunteers, and other constituents; negotiate quotes and agreements
- Participate in the creation of revenue and expense budgets for each event
- Coordinate programming with local municipal entities and collaborate with other non-profits
- Assist with all digital and social media platforms, including website, Facebook, Twitter, and Instagram, so that new and consistent information is posted regularly. Experience with Constant Contact is a plus.
- Assist to develop and design event marketing materials, including events, donor appeals, and patron messaging for the events
- Provide post-event reports with data-driven analysis including feedback, goal attainment, and recommendations for future event improvements
Qualifications
- This role requires 2–3 years’ experience minimum in Event Planning, Fundraising/Development, Communications/Marketing, or Project Management
- Efficient – You possess superior time management, delegation, and multi-tasking skills to work on multiple events simultaneously
- Organized – You thrive in timelines, spreadsheets, runs-of-show, and task assignment lists
- Planner – You’re able to anticipate needs, foresee problems, and propose solutions
- Self-starter, friendly, mission-driven, with high integrity
- Knowledge, use, and passion for parks and trails systems, a plus
- Articulate- you are a persuasive and passionate communicator with excellent interpersonal skills
- Action-oriented, entrepreneurial, adaptable, and innovative approach to planning
- Adaptable- ability to work effectively independently or in collaboration with multiple groups; a strong team player able to calmly manage tight deadlines and unforeseen situations
- Knowledgeable of computer software; must be proficient with Microsoft Office including Word, Excel, and PowerPoint; Google Docs, Zoom, social media platforms
- Can lift 25 pounds
- Schedule flexibility – Ability to work flexible and sometimes extended hours and some weekends
