Who We Are Looking For
The Events Coordinator is responsible for planning, coordinating, and executing recruitment and fundraising events to engage and grow new donors, volunteers, foster families, and potential clients. This includes overseeing the involvement of donors, community partners, sponsors, and other stakeholders. This role must exhibit great project management and communication skills and be committed to delivering high-quality, professional events.
The Events Coordinator will be responsible for developing the annual work plan and event timeline. In collaboration with other program departments, the Events Coordinator will also ensure the smooth logistical execution of Monroe Harding’s events. This coordination will align with Monroe Harding’s mission, vision, and objectives and effectively communicate key brand messages.
Job Responsibilities
Along with other duties, the Coordinator will be responsible for the following:
Event Management
- Organize and execute major and micro-events under the direction of the Senior Director of Development. This includes fundraising campaigns, community outreach, and recruitment events.
- Coordinate logistics such as venue selection, catering, equipment, etc.
- Serve as point of contact for Day-of-event activities.
- Assist in developing concepts and designs, coordinate mailings of promotional materials and invitations, and aid in logistical planning.
- Assist the Senior Director of Development with budget management for events.
- Collaborate with the Donor Relations and Volunteer Coordinator to recruit volunteers for events and solicit donations.
- Engage potential sponsors, help coordinate and manage volunteer committees for special events, solicit and track auction items and donations, and work with event space managers, food vendors, and other special events vendors.
- Track event attendance, manage registrations, and gather feedback for post-event evaluation.
Marketing & Communications
- Develop strategies, in collaboration with the Senior Director of Development, to increase awareness of the organization and its mission, vision, and cause.
- Establish standards and create a consistent image and message for printed and offline communication materials, including but not limited to:
- Newsletters
- Annual Report
- Brochures and information kits
- Forms, flyers, promotions, and other printed materials.
- Ensure that all promotional materials align with Monroe Harding’s brand standards.
- Participate in engagement strategies to build lasting relationships with potential sponsors, donors, and stakeholders.
- Identify, write, and review stories, including conducting client interviews, to personalize the organization’s mission in external communications (e.g., newsletters, grants, email campaigns, donor thank-you notes, and executive correspondence).
- Assist the Senior Director of Development in developing targeted marketing initiatives to support each program’s goals while maintaining a consistent message for the organization.
- Coordinate the creative design for the organization’s marketing and promotional materials as well as fundraising campaigns to ensure consistency and maximum impact.
- Coordinate the production of video content.
- Write press releases and content for radio and print ads in collaboration with the Senior Director of Development.
- Identify and assess opportunities for advertising.
- Represent Monroe Harding at agency fairs, speaking engagements, and other community events as assigned.
- Assist in analyzing and reporting the impact of communications on organizational success.
Website & Social Media Content
- Assist with managing and maintaining all online communication vehicles, including but not limited to:
- Website
- Online social media
- Email electronic signatures
- Work with website design vendors to implement design changes to the website.
- Have a strong knowledge of communications and social media trends.
- With the Senior Director of Development and Communications, assist with the design and implementation of social media posts, including sites such as Twitter, Instagram, and Facebook.
Qualifications
What we expect in a Special Events & Communications Coordinator at Monroe Harding
Education and Experience
Bachelor’s degree or equivalent experience. Experience in marketing, public relations, or hospitality is preferred.
Qualifications Required
- Professional demeanor, flexibility, and ability to respond to multiple demands.
- Excellent English language skills: oral, written, and reading as well as strong interpersonal communication skills
- Proficient skills in Adobe Acrobat, Canva, Excel, Microsoft Office, Outlook, and presentation software.
- Knowledge of Adobe Creative Suite and Illustrator is a plus.
- Ability to compile and analyze data
