Centennial Park Conservancy is searching for a full-time Event Coordinator to help us plan and implement our programming events in the Park.

JOB SUMMARY:

The Event Coordinator works on the organization’s Programming team and is responsible for supporting Centennial Park Conservancy’s events, including Musicians Corner, Kidsville, and Nashville Earth Day. We are looking for someone who can develop professionally and grow with us over time. The position is full-time exempt and based in Nashville with a flexible work-life balance.

The Parthenon and Centennial Park have been essential parts of Nashville’s fabric for more than a century. As a 501(c)(3) nonprofit support organization working in partnership with Metro Parks, Centennial Park Conservancy is committed to our mission of preserving, enhancing, and sharing the Parthenon and Centennial Park so that future generations may benefit from these enriching cultural and educational landmarks. The organization is responsible for a variety of initiatives focused on caring for the Park and maintaining its vibrancy. Centennial Park Conservancy has several areas of focus, including: The Parthenon – a full scale replica of the Grecian monument, fine art gallery, and museum that curates exhibits and presents educational programs to over 300,000 visitors annually; Musicians Corner – an outdoor music series attended by 75,000 people annually that presents free, diverse, and accessible live music for people of all ages and socio-economic groups; Kidsville – an educational program that serves over 30,000 children (ages 2-12) annually and provides free activities in the Parthenon, and locations across the city; Nashville Earth Day – the city’s official event celebrating and protecting our environment; Centennial Park Revitalization – a public and private partnership with Metro Parks to revitalize Nashville’s central park to serve our residents and visitors.

Job Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The Event Coordinator will report to the Director of Events and Community Engagement and will ensure that all events run smoothly through securing all necessary permits and licenses, overseeing event load-in and load-out, managing event staff and volunteers, placing orders for event supplies, managing inventory, and tracking event expenses to ensure that budgets are met. Success will include the ability to streamline event processes and develop systems to effectively manage overlapping timelines and needs. Responsibilities include:

  • Assist in planning and implementing programming events, including Musicians Corner (Spring Series, September Sundown, and Fall Market), Kidsville (at Park events and inside the Parthenon), and Nashville Earth Day
  • Supervise event staff and interns, in collaboration with the Director of Events and Community Engagement
  • Create a robust volunteer program across all programs, including scheduling and managing all volunteers
  • Schedule and manage vent bar staff and Kidsville event staff
  • Handle alcohol orders and manage inventory
  • Schedule and manage food truck bookings
  • Apply for necessary event permits and licenses including beer, liquor, and road closures
  • Secure portable toilet rentals and any necessary road signs/cones for events
  • Place orders and facilitate delivery of staff and artist catering for events
  • Oversee event load-in and load-out operations
  • Manage the organization and delivery of event supplies in our storeroom
  • Fulfill online merchandise orders and facilitate merchandise sales at events
  • Track event expenses to ensure that budgets are met

Qualifications

  • Extremely detail-oriented with thorough record-keeping

  • Capable of addressing and prioritizing multiple projects in time-sensitive manner
  • Ability to organize workload, exercise independent judgment, and maintain a self- motivated and self-directed schedule
  • Excellent verbal and written communication
  • Ability to provide world-class customer service
  • A collaborative spirit to achieve mutual goals 
  • Strong knowledge of computers, including Apple programs, Microsoft Office, and Google Drive
  • Available to work weekends and evenings at approximately 30+ annual events
  • Must be able to lift a minimum of (40) pounds and perform manual labor on event days
  • Nonprofit and event experience a plus
