Job Summary

Working with the Tennessee Bar Association, facilitates, coordinates and administers meetings, continuing legal education programming, communication and activities of TBA sections and committees.

Job Responsibilities

Facilitates Section Member Communication

  1. Assists section/committee chairs in communicating with members; assists in planning communications; serves as information clearing-house; helps draft e-mails.
  2. Coordinates creation of section Connect newsletters; collects articles or reactions to news items and legislation from members, proofs and reformats as needed; writes general news and information articles; forwards draft to communications staff for review before publication and distribution.
  3. Conducts surveys of sections’ members to obtain input related to CLE needs or comments concerning pending legislation.
  4. Maintains section leadership rosters on section web pages and ensures contact information is up to date.

Coordinates & Manage Section CLE Planning

  1. Helps sections or committees develop CLE topic ideas and identify speakers for the annual forum on advanced topics.
  2. Collects program materials from presenters; compiles program material, including speaker’s material, certificates, evaluation forms, speaker bios, etc.; sends to printer or prepares for distribution.
  3. Ensures that the TBA meeting facilities are orderly and properly supplied; sets up materials and refreshments at program location or ensures set up at remote sites.
  4. Ensures proper A/V set-up; coordinates with off-site or TBA IT staff as needed; assists in video recording of programs as needed.
  5. Encourages the chair or the executive council to meet regularly until the program is planned
  6. Identifies sponsors for program.
  7. Works with CLE Director on program budget, expenses and pricing.
  8. Administers program follow up.
  9. Promotes online programs and recordings.
  10. Identifies hot topics to be planned as webcasts.
  11. Meets with Director of Education and Professional Development to coordinate programming on hot topics, online series and basic-beginner program.
  12. Participates in selection of section CLE program dates and locations.
  13. Facilitates section executive council with the design of CLE programming.
  14. Plans and implements program sessions, special events, including dinners, group activities, etc.
  15. For offsite programs, arranges, with assistance of supervisor, hotels and other meeting venues, negotiates and contracts with caterers and other suppliers to schedule events and services.
  16. Create marketing images for CLE programming.
  17. Edit/proof CLE marketing included in the TBA Journal.
  18. Reviews requests for speaker /producer reimbursement and vendor/supplier invoices for accuracy; approves for payment.
  19. Develop online materials webpages for CLE programs.

Plans and Coordinates Special Events and Projects

  1. Provides administrative support and assists various TBA Sections and Committees to develop resolutions, programming, or other initiatives to improve the legal system.
  2. Assists other staff members in planning and coordinating TBA Convention, TBA Leadership Conference and other TBA events.
  3. Coordinates section and committee meetings held in conjunction with convention; coordinates logistics planning with section committee; attends meetings and takes notes.

Facilitates Section and Committee Meetings

  1. Serve as legislative liaison between TBA Director of Public Policy & Government Affairs and TBA Sections. (Disseminating many pieces of legislation to various section ECs, soliciting comment/feedback, relaying information back to TBA Director of Public Policy & Government Affairs while adhering to each piece of legislation’s timetables.)
  2. Establishes meeting schedules with section chairs; drafts meeting agendas.
  3. Facilitates meetings as needed; coordinates with section and committee chairs to ensure the business of the section or committee is carried forward.
  4. Takes and circulates meeting notes after the meeting; follows up to remind section/committee members of assignments to ensure timely completion and compliance with project schedules.
  5. Ensures that meeting notes are complete, comprehensive (beyond an outline) and filed properly on file server.
  6. If applicable, ensures meeting facilities are set up, refreshments are provided, and printed materials are available for those in attendance

Other Job Duties

Performs other job duties as assigned, including some or all of the following:

  1. Responds to questions from members and others concerning TBA programs and events and other information.
  2. Serves as event photographer as needed.
  3. Participates and supports all TBA CLE programs and department activities.
  4. Maintains Committee and Section Dashboard daily.
  5. Other duties as assigned.
  6. Sometimes contributes to different TBA publications.
  7. Provides customer support for CLE department and membership.

Equipment Operated

Telephone, computer, printer, photocopier, and video camera. Must be comfortable with utilizing Zoom and other virtual platforms

Physical Requirements and Work Environment

The incumbent works in a hybrid office environment. Occasional overnight travel or participation in weekend events is required.

Qualifications

Education and Experience: The required knowledge, skill, and abilities to satisfactorily perform job duties are normally acquired through attainment of a bachelor’s degree and a minimum of five years related experience, or an equivalent combination of education and experience. Legal background preferred.
