Job Summary

The Donor Management Coordinator works closely with Development and Marketing, to support the annual development plan and attainment of the Development budget.  In addition, this position works closely with development staff, supports events, donors, and community organizations in fulfillment of the organization’s mission, delivering programming, communications with sponsors and donors, and achieving sustainable growth.

Summary

The Donor Management Coordinator is responsible for assisting the Development and Marketing Department in updating department databases with current constituent information, mail merges and mailings for department events and campaigns, assisting with event preparation and implementation, updating community calendars, and assisting with donor communications.

Job Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Annual Planning: Coordinates with development and marketing to ensure:

  • Staff are aware of community events to coordinate Special Kids maximum value to the community and opportunities for community outreach.
  • Event dates are publicized on community calendars to the community as early as possible to avoid schedule conflicts with other community events (marketing or development)
  • Coordinates third party event participation with development staff throughout the year and reaches out for annual participation.
  • Assists the Event Specialist(s) with the preparation and implementation of annual events.

Donor Stewardship:  works with donors, event participants, and others to ensure ongoing communication, retention, and cultivation of supporters.

  • Assists in the timely preparation of thank you notes to donors and memorial and in-tribute gifts in coordination with development staff.
  • Assists with answering the development phone and meeting preparation for tours, small group meetings and community presentations.
  • Follow up on staff requests for assistance with donor, community organizations and/or sponsor requests.
  • Coordinates the welcome series to new donors and event participants to cultivate new supporters of Special Kids.
  • Works with Event Specialists for quarterly communications with all event participants throughout the year.

Finances and Revenue Generation:  Assists development with attainment of financial goals and deadlines and contributes to enhancing investor relationships following the investor stewardship plan.

  • Support all fundraising campaigns (The Big Payback, Hope Drive, Giving Tuesday, and others) by assisting with mail merges, postcard mailings and other channels to meet fundraising goals.
  • Keeps staff abreast of fundraising dollars raised for campaigns and events compared to the financial goal.

Administration: Works closely with development, marketing, and finance staff in establishing priorities, and communicating updates. Documents all communications related to donor, sponsor, and vendors in the customer relationship management program.

  • Point of contact for development and marketing staff for running reports for mailings, campaigns, quarterly and monthly reports.
  • Assists in coordination of mailings and mail merges for events, specialized campaigns, and other mailings as necessary.
  • Maintains inventory of supplies necessary for implementation of events, campaigns, mailings, and community presentations.
  • Meets target dates for deliverables by establishment of priorities, work plans and timelines.
  • Documents in the CRM all communications with vendors, sponsors, donors, and community organizations and makes updates on accounts as necessary daily with inconsistencies or changes to a constituent record.
  • Represents Special Kids at fundraising and community events as appropriate.
  • Attends meetings and conferences and participates in other activities to promote professional growth.
  • Other duties as required.

Education and/or Experience

Preferred Bachelor’s degree in Communications or 2-3 years’ experience in related field.   Experience in non-profits or fundraising preferred. Experience in the following: public speaking, volunteer/campaign management.

Computer Skills

To be successful in this job, an individual should have basic computer skills and the ability to learn new software and web-based applications.
