Job Summary

This position will be responsible for administrative services related to the day-to-day operation of the Tennessee Independent Colleges and Universities Association (TICUA) office and will report to the Vice President.  TICUA engages Tennessee’s private colleges and universities to work collaboratively in areas of public policy, cost containment, and professional development to better serve the state and its citizens. TICUA is a small, 501 (c)(3) non-profit based out of Nashville, TN, but all staff are fully remote.

 

TICUA is looking for an independent, experienced administrative professional, who has a strong understanding of their own work and learning styles and knows how to best utilize their strengths- while still being willing to learn new things. The successful candidate will appreciate the advantages of working remotely while demonstrating their ability to be successful and productive.  Although, TICUA has a small staff, the association works with a variety of stakeholders, which requires the candidate to have outstanding interpersonal skills and the ability to work collaboratively.

Job Responsibilities

Financial Management

  • Maintain financial reports in concert with outside accounting firm to include bill payments, remote deposits, reviewing monthly reports, and processing vendor payments.
  • Review monthly budget reports for the operating and investment accounts for accuracy and for their use in preparation of the annual budget.
  • Create invoices for vendors, professional development meetings, donors, sponsors, and annual institutional member dues; and process checks for deposit.
  • Facilitate the collection of records and data while acting as chief liaison with accounting firm for preparation of the annual audit.

Human Resources

  • Serve as human resources contact for TICUA employees, maintain personnel files and records for the TICUA retirement plan, employee FSA, and HSA funds.
  • Process monthly payroll using the online payroll processing portal.

Event/Meeting Planning

  • Develop and coordinate all TICUA professional development meetings both virtual and in person, by selecting an appropriate venue, organizing audiovisual equipment, coordinating hotels, transportation, setting up registration through the association management software, preparing documents/folders, and catering selections. 
  • Attend professional development meetings both virtually and in person as requested by the Vice President or President.  While in attendance, serve as the onsite TICUA liaison.
  • Work as a team with other TICUA personnel on logistics for Annual Meeting.
  • Manage and prepare event budgets and process invoices.
  • Take and transcribe minutes for TICUA Board of Directors meetings.
  • Assist in the preparing for TICUA Board of Directors meetings including, but not limited to, the selection of meeting site, providing of meals, and preparation of documents and materials, etc.

General

  • Maintain and update TICUA’s online member directory in the association management software.
  • Maintain and update the individuals, companies, legislators, etc. receiving copies of The TICUA Case Statement, Characteristics, TELS report, and TICUA’s annual policy paper as well as other documents distributed to key stakeholders.
  • Work with the contracted PR firm to facilitate the successful printing of key TICUA documents.
  • Work with mail services company to distribute above publications.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree in a related field from an accredited college or university.
  • One (1) year of related experience in event planning and administrative work.
  • Ability to organize, plan, and prioritize daily workloads.
  • Ability to work independently while recognizing when to seek the guidance of the Vice President and other TICUA employees.
  • Proficient in Office 365 and QuickBooks.

Salary

  • Salary will be commensurate with education and experience and will be re-evaluated each year for merit increases.
