Job Summary

The Tennessee Wildlife Federation Development Coordinator position supports the fundraising
functions of the Federation by promoting a professional and donor-centered culture through timely
and personal correspondence and exquisite record-keeping skills. The Development Coordinator is
responsible for donor acknowledgments, donor tracking, fundraising mailings, and CRM
maintenance. The coordinator also supports the development team in administrative duties and
special events as needed.

Reports To: Development Manager
Geographic Area of Work:Based in Nashville with a statewide reach

Job Responsibilities

Responsibilities: The Development Coordinator is responsible for working in the following areas
to enhance Tennessee Wildlife Federation’s fundraising activities:

● Donor and gift tracking, including the processing, acknowledgment of all gifts, grants, and
pledges
● Data entry and database maintenance, including updating donor records, maintaining
accurate donor profiles, and ensuring accurate notes on all donor acknowledgments
● Assist Development Manager and development team on tasks related to correspondence,
direct and special mailings, and donor cultivation
Duties: The Development Coordinator is required to perform the following tasks:
● Process daily donations and track pledge payments and invoices
● With a focus on the needs of the donor, acknowledge all gifts timely fashion and in an
appropriate manner
● Keep detailed and accurate records of donor acknowledgments, donor interactions, and
donor histories
● Maintain supporting documents for donations and grants
● Report on donor activity and run reports as needed by the development team
● Perform monthly database maintenance
● Generate mailing lists and coordinate bulk and individual mailings
● Prepare special notes and correspondence for mailings and for donor cultivation
● Maintain inventory and organization of development materials such as letterhead, envelopes,
postage, and supporting Federation materials
● Answer phones, assist with general admin tasks, maintain an orderly work environment.
● Additional interdepartmental and executive assistance as needed.

Qualifications

Key Qualifications: The successful candidate must believe in the core values of Tennessee Wildlife
Federation and be driven by the mission. The candidate will have the following attributes and
experience:

● Experience with CRM database management, data entry, and report building
● Exemplary editing skills, fine attention to detail, and ability to swiftly identify and remedy
typographical errors
● Proficiency in Microsoft Office Suite, with emphasis on Excel and Word
● Demonstrated ability to work thoughtfully and professionally, especially in interactions with
donors and external audiences
● Demonstrated ability to problem-solve and improve systems for maximum efficiency
● Ability to work in a fast-paced environment, balance multiple demands, and meet deadlines
● Bachelor’s degree in a relevant discipline. Non profit experience a plus but not required

● Must have a passion for the Federation’s mission. Approaches work from the Federation’s
point of view rather than personal
● Strong work ethic with the ability to reject setbacks and enthusiastically persist until goals are
achieved
● Resourceful and able to tackle challenges in a timely manner
● Results-oriented team player who is accountable for their performance
Performance Standards:
● Conducts tasks accurately, with care and precision, and in a timely manner
● Communicates effectively and listens to others. Has strong grammatical skills, and
demonstrated ability to communicate effectively across technological platforms
● Keeps supervisor informed and up to date on all matters pertaining to their work
● Participates in staff meetings and staff retreats
● Treats peers with respect
● Follows all procedures and policies within the Federation’s employee manual
