Job Summary

Job Summary:  The Development Coordinator is responsible for the organizational accuracy and general office management of the development department. S/he works closely with the Director of Development to ascertain that all information is correctly and timely flowing internally and externally of the department. Effective correspondence and database management will be the primary duties of this position.

  • Ability to represent the Frist Art Museum in a professional way to donors, potential donors, and the general public locally, regionally, and nationally
  • Excellent oral and written communication skills
  • Strong attention to detail
  • Ability to prioritize and meet deadlines
  • Ability to be a self-starter and problem-solver
  • Experience with donor databases, preferably Altru
  • Possess excellent interpersonal skills and be able to work well and interact with a broad spectrum of personalities and diverse populations
  • Support development department in special events, donor relations, and general duties as needed (potentially, some evenings and weekends)

Job Responsibilities

Essential Job Functions:

  • Organize and manage written correspondence for donations received by the development office (i.e. Renewal letters, acknowledgement letters to donors, end of the year tax letters, funder recap reports, etc.)
  • Oversee database gift entry for membership, annual fund, gifts-in-kind, and general contributions received by the Development office
  • Oversee the creation and auditing of donor and mailing lists for the development team
  • Create development transactions and metrics reports
  • Work with front of house and back of house staff to reconcile gift and constituent information to conform with best practices
  • Reconcile all received revenue with the finance team
  • Keep all contact information up-to-date in the database
  • Assist with the pre, during, and post Development Council meeting production
  • Oversee the management of digital and hardcopy transactions filing
  • Assist in preparing and maintaining department budget, and process invoices
  • Assist in fulfillment of benefits for members and sponsors
  • Answer telephone calls addressing donor/member questions and concerns
  • Perform practical troubleshooting
  • Provide assistance for development duties as assigned

Qualifications

Education/Work History: 

Bachelor’s Degree; 1+ year of working in an office environment; Preference given to candidates who have development office, database management, and/or customer service experience.
