Job Summary

The Transit Alliance of Middle Tennessee is the only organization working to build support for funding multimodal transit in Middle Tennessee. We are a hardworking and respected organization. Like the region, we are growing, and that requires supportive staff. We seek a talented part time Development and Administrative Assistant.

The Development and Administrative Assistant plays a critical supporting role for the organization, its partners, prospective partners, regional municipalities and communities, and, most importantly, the future of public transit in the region. This position provides a wide array of administrative support to ensure efficient and effective office operations and timely response for contributions.

This individual assists with fundraising basics and assists the executive director with meetings, follow ups and scheduling, and responds to basic information inquiries regarding our contributions and partnerships.

Key responsibilities include accurately entering and maintaining donor data and recognition with timeliness, helping with list management, appeals/campaigns, and supporting event coordination. Candidates must be organized, resourceful, self-motivated, able to work remotely, detail oriented, prompt, communicative, very personable, able to multitask, and have a passion for the mission of the Transit Alliance

Job Responsibilities

Administrative Support

  • Organizes and schedules external meetings for the CEO as directed. Includes reserving conference space, making restaurant reservations, scheduling to allow adequate travel time, etc.
  • Assists CEO with Board of Directors meetings, included but not limited to, securing location for meetings, sending meeting notices, tracking attendance plans, ordering lunch, and preparing and copying material for meetings.
  • Prepares communication, such as memos, emails and other correspondence on behalf of the CEO.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc. as required.
  • Submits and reconciles CEO’s expense reports.
  • Maintains contact lists for the organization.

Development Support

  • Assist with grant identification, writing and/or reporting.
  • Enter gift and donor data into database and development report spreadsheets.
  • Assist with fundraising and development by processing gift acknowledgements, sending out thank you letters, creating call lists for thank you calls and for donor prospects.
  • Assist with list management and all aspects of annual appeal (labels, printing, etc.).
  • Create donor reports and donor profiles.
  • Supervise development intern and volunteers.
  • Provide development assistance to the executive director, including scheduling meetings with contributors and partners, assisting with logistics for meetings, and collating materials for meetings as needed.

Qualifications

Education/Experience

  • High school diploma required, Associates degree or higher preferred
  • Minimum five years administrative experience
  • Nonprofit fundraising and/or development experience preferred

Knowledge, Skills, and Abilities

  • Adaptable, independent, and professional with great time management.
  • Strong analytical, data entry, and database management skills required.
  • Demonstrates attention to detail.
  • Ability to meet deadlines.
  • Ability to work with minimal supervision.
  • Strong organizational skills and ability to complete a wide variety of tasks.
  • Flexibility to adjust to new tasks should a company or office require change.
  • Solid interpersonal and communication skills both oral and written.
  • Skilled in basic computer and internet software: Google, Gmail, Microsoft Office 365, Word and Excel.
  • Willingness to learn and work well in a team environment.
  • Familiarity with nonprofit fundraising is a plus.
  • Interest in working with donors toward an identified and shared goal.
  • A quick learner who actively seeks to learn new and complex concepts.
  • Willing to learn and/or seek help when needed.
  • Experience working in an office and remote preferred.
  • Demonstrates positive attitude and excellent customer service skills.
  • Strong interpersonal skills to establish and maintain effective working relationships internally and externally.
