Job Summary

Under the direction of the Data Manager & Salesforce Administrator, the Intern works to assure data is accurate and captured in a timely manner in order to further programmatic and fundraising goals. In collaboration with PENCIL staff, this position will also enhance understanding and use of Salesforce, along with other technology tools, to drive innovation and greater efficiency within the organization.

Job Responsibilities

Under guidance from the Data Manager & Salesforce Administrator, some specific recurring tasks will include:

• Ensure information stored in Salesforce CRM for contacts, accounts, etc. is accurate, e.g. email address is in correct field (home vs. work)

• Merge duplicate contacts and leads

• Monitor reports and dashboards to assure regular use of data tools by staff and volunteers and to maintain accuracy

• Assist FRC team with entering community investment data; ensure accuracy and timely entry

• Oversee the creation and distribution of mass emails through Salesforce (programmatic, marketing, fundraising)

• Assist LP PENCIL Box team with entering volunteer data; ensure accuracy and timely entry

• Provide support to the Project Manager by maintaining updated and relevant content on our Mission Box platform

• Assist the Partnership Team by entering partnership registration forms and ensuring task lists are started and assigned in Salesforce

• Assist the CEO & VP of Development & Marketing by ensuring task lists are started for donors and assigned in Salesforce

• Provide Salesforce training as needed to PENCIL & MNPS staff; formats can include email, phone, written and video tutorials

• Create reports and dashboards in Salesforce as needed

Qualifications

• EDUCATION – Pursuing Associate’s or Bachelor’s Degree in Information Technology or other related field

• SKILLS –

o Thinking critically when problem solving and interpreting data as it pertains to the technology systems PENCIL has in place and the users who interact with them

o Beginner level knowledge of Microsoft Excel is essential, intermediate to advanced level is preferred; experience with Salesforce CRM is a plus

o Ability to set and accomplish goals and meet deadlines

o Excellent written and oral communication skills with special emphasis on taking a technical solution or answer and explaining it in a user-friendly way

o Willing to follow specific instructions from Data Manager and other PENCIL staff while also displaying an ability to work independently when needed

o Organized and able to keep accurate and detailed documentation

• EXPERIENCE –  Managing and analyzing data, maintaining databases, & providing training to staff and partners at all levels; experience with and/or interest in learning the Salesforce CRM platform

• CONFIDENTIALITY – ability to manage sensitive information in a professional and confidential manner as outlined in PENCIL’s Confidentiality Policy
