JOB DESCRIPTION

Summary

Inspiritus is designated by the federal Office of Refugee Resettlement (ORR) to administer the Alabama state refugee resettlement program and serve as the State Refugee Coordinator (SRC) office. This office is responsible for overseeing the design, implementation, and coordination of refugee services in the state. As a part of this program coordination, data-informed practices are critical to ensure client needs are met and federal funding is being spent in a compliant, efficient manner. Because of this need, the SRC office is responsible for regular reports to ORR and other federal and state-level offices; the Data and Grant Support Specialist will provide technical and administrative assistance to support this data collection in a manner that is timely and accurate.

The Data and Grant Support Specialist will help to ensure quality and consistency in data collection and reporting across state-wide programs. This position will work with the SRC and other program staff at Inspiritus and funded partner organizations in Alabama to establish and maintain a central, specialized database for program monitoring and reporting for data-driven programming. This position reports to the SRC.

Job Responsibilities

Essential Functions

  • Helps develop a case management software that fits the needs of SRC programming across the state of Alabama
  • Develops a digital invoicing system for funded partners
  • Works with case managers and other agency staff to identify needs in case management software and develops a solution to address those needs
  • Serves as the administrative expert on a specialized case management database that processes client-level data
  • Troubleshoots issues with the database and works with staff to provide technical support when problems with the database arise
  • Works with the SRC to collect and ensure timeliness and quality of data in reports submitted to other agencies, such as ORR
  • Create and edit processes for data input
  • Monitors data quality and identifies areas of improvement
  • Assists with conducting regular audits of data and refugee programming initiatives
  • Initiates and develops group trainings and instructional opportunities to ensure appropriate data reporting by program staff at Inspiritus and other funded partner agencies
  • Maintains personal and professional boundaries in the performance of the job
  • Forges mutually respectful partnerships with clients, funded partner agencies, co-workers, and volunteers
  • Participates in Inspiritus functions and public relations activities
  • Participates in training and professional conferences to keep abreast of current trends

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

Regularly required to talk and hear in person and on the telephone. Required to stand, walk, sit, use hand to finger, handle or feel objects, tools or controls: and reach with hands and arms to operate computer and other office equipment. Required to operate a personal vehicle. Employee frequently lifts and or moves up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m.

Travel: Up to 10% statewide travel.

Qualifications

Required Education and Experience

  • Bachelor’s degree or international equivalent in a business, data management, or IT related field or an equivalent combination of education and experience
  • Experience in program monitoring, evaluation, and grants management
  • Experience in planning for, implementation of, and oversight of advanced, complex and robust data management systems (i.e. identifying, gathering, tracking, analyzing, and reporting).
  • Excellent oral and written communication skills in English
  • Experience working in a culturally diverse environment and high level of cultural competence
  • Excellent computer skills, accurate typing, and knowledge of Microsoft Word, Excel, and Outlook
  • Must have the ability to communicate with all persons in a culturally competent manner
  • Must be sensitive to the service population’s cultural and socioeconomic characteristics

Preferred Education and Experience

  • Federal grant management experience highly desirable
  • Previous experience working with refugees or other vulnerable populations
  • Experience with case management software such as Apricot, CaseWorthy, SalesForce, or equivalent strongly preferred
