Job Summary
The Controller is a key leadership position responsible for overseeing the organization’s accounting operations and ensuring financial accuracy and compliance. This role involves creating and managing a robust system of financial controls to mitigate risks, enhance the reliability of financial reporting, and ensure adherence to Generally Accepted Accounting Principles (GAAP). The Controller acts as the primary resource for financial information and problem resolution, guiding and supervising the finance team in areas such as billing, financial planning, forecasting, budgeting, treasury management, risk management, fixed asset record keeping, and payroll. Additionally, this role includes managing IT/technology vendors, equipment, and service needs to support organizational efficiency and effectiveness. The Controller plays a critical role in supporting strategic decision-making and maintaining the financial health of the organization.
Relationships and Contacts
Within the organization: Initiates and maintains close working relationships with the Chief Operating Officer & SVP of Compliance, Leadership Team, and staff.
Outside the organization: Initiates and maintains close working relationships with board members, vendors, donors, and volunteers.
Job Responsibilities
Essential Responsibilities
- Oversee the daily operations of the Finance department, ensuring accurate, GAAP-compliant, and timely fiscal administration.
- Assists the Chief Financial Officer & SVP of Compliance and other appropriate staff in developing budget forecasts and in long- and short-term financial planning including capital expenditure budgets for the agency.
- Develops or assists in the development of performance measures that support the YWCA’s strategic direction.
- Manages cash flow and forecasting and directs all financial and project-based accounting.
- Ensures that accurate monthly financial reports are prepared and presented per established schedules.
- Ensures financial activities of the organization are conducted according to generally accepted accounting principles for not-for-profit corporations.
- Assists independent auditors with the annual A-133 organization audit.
- Assists independent auditors with the preparation of the organization’s annual 990 return.
- Ensures the Indirect Cost Plan is prepared and submitted by April 30th each year.
- Ensures the organization’s Charitable Solicitation renewal is prepared and submitted by March 31st each year
- Manages all grant billing processes, ensuring that invoices are generated in compliance with relevant grant agreements.
- Ensures that the organization is in compliance with local, state, and federal government requirements related to financial information and reports.
- Manages organization’s capital projects by negotiating with vendors, managing vendors to budget and timelines, and assisting in funding projects as designated by the CFO & SVP of Compliance.
- Responsible for the organization’s Treasury Management including line of credit borrowings.
- Responsible for the timely and accurate administration of the organization’s time & attendance, payroll, tax filings, and W2s in accordance with FLSA and IRS guidelines.
- Manages office phone systems at all locations, setting up new users and modifying user information as requested.
- Manages business accounts for cell phones and jetpacks; initiates new service; purchases upgrades; deletes accounts; performs periodic reviews.
- Manages/coordinates upgrades and replacements of computer equipment as approved by the CFO & SVP of Compliance.
- Monitors and updates as needed (a) the list of managed users serviced by the agency’s third-party IT support vendor, (b) the list of authorized, licensed users of Office365, (c) the directory of authorized email addresses for the ywcanashville.com domain and (d) members of email groups in use at the agency.
- Works with the agency’s third-party IT support vendor to manage server resources’ disk space and directory structures.
Additional Responsibilities
- Prepares, implements, and monitors monthly and annual budgets.
- Reviews present internal controls and implements internal control procedures.
- Develop and revise financial and managerial accounting policies and procedures.
- Performs other related duties assigned by the Chief Financial Officer & SVP of Compliance.
- When necessary, respond to IT-related issues during and after normal business hours
Qualifications
Minimum Requirements
Education and Experience
The position requires a minimum of 5 years of experience, with a bachelor’s degree in Finance, Accounting, or a similar area of focus (Master’s degree preferred). Minimum of 3 years of nonprofit fiscal management and operations experience including supervisory experience preferred.
Physical Requirements
- Ability to sit for extended periods of time.
Other Requirements
- The position requires the incumbent to have a valid driver’s license, vehicle insurance, and a clean driving record for the last three years.
- Ability to work a flexible schedule, including weekends, when needed.
Skill Competencies
- High proficiency with Financial Edge NXT accounting software, Questica budgeting software, and Microsoft Office Products; demonstrated experience with other accounting/general ledger software may be substituted for Financial Edge NXT.

- Proficiency in budget development, particularly budgets with a high percentage of grant funding.
