Position Summary:

Consistent with the Christian mission and vision of the YMCA of Middle TN and in cooperation with other YMCA staff, under the supervision of the YCAP Executive Director, the Community Outreach Director establishes partnerships with local agencies/organizations and individual donors through social media, event support and community facing communication representing the goals, needs, and interests of the YMCA of Middle Tennessee and its youth development programs.

She/he organizes and implements a complete volunteer service program including recruitment, clearance, training, coordination, satisfaction, and retention serving as the primary contact for all program volunteers,. Responsibilities include identifying roles throughout K-12 outreach programs that can be filled by volunteers, and promoting volunteer success in each role. Strengthening connections between YCAP and the community is a key purpose of the role.

Job Responsibilities

Essential Functions:

  • Serves as an advocate/ambassador for the cause of the YMCA: Strengthening our Community through Youth Development, Healthy Living, and Social Responsibility
  • Identify and assess local businesses, organizations, and other non-profits to determine partnership fit
  • Maintain and strengthen existing community partnerships
  • Assess opportunities and need for volunteers to enhance program delivery with youth in K-12 outreach
  • Develop, administer, and review policies and procedures which guide the volunteer program that addresses recruitment, training, coordination, satisfaction, and retention
  • Write volunteer position descriptions in consultation with appropriate staff members
  • Promote the volunteer program to gain community and organizational support
  • Develop and implement effective strategies to recruit and retain qualified volunteers with the appropriate abilities and aptitudes
  • Conduct outreach and volunteer recruitment to sustain and grow volunteer participation
  • Follow YMCA application and interview protocols for potential volunteers to achieve the best match between the skills, qualifications and interests of the volunteers and the needs of the YMCA; where applicable, follow relevant rules of the public school setting where volunteers will serve
  • Ensure volunteers are given appropriate training to be successful in their positions
  • Orient volunteers to increase their understanding of the YMCA and K-12 youth outreach programs, the needs of the youth we serve, and the unique ways to build relationships with youth who have experienced trauma
  • Train staff to work effectively and cooperatively with volunteers in their areas of focus
  • Ensure volunteers receive the appropriate level of supervision required to be successful
  • Assist with conflict resolution among volunteers, staff and youth participants/families in accordance with established procedures
  • In partnership with Sponsored Programs and/or IT, identify and implement appropriate software tools or tracking forms to capture necessary data
  • Establish a standardized evaluation program for individual volunteer performance review
  • Create a volunteer recognition process
  • Evaluate the risks associated with each volunteer position in conjunction with HR and take appropriate action to control the risks associated with the program or service
  • Ensure volunteers work in a safe, healthy, and supportive environment in accordance with all appropriate legislation and regulations
  • Promote the volunteer program and work with youth to various community partners that have an interest in making a difference for youth
  • Coordinate YCAP events, utilizing volunteer and community relationships
  • Manage all budget, variance reports, and accounting responsibilities within the guidelines of the YMCA of Middle Tennessee for the community outreach department
  • Prepare an annual report on the contribution of the volunteer program to the organization
  • Manage all Y-CAP social media accounts
  • Oversee quarterly Y-CAP newsletter and complete any other necessary reports as assigned
  • Support Y-CAP Executive Director in managing board relations
  • Support Y-CAP Executive Director in annual fundraising efforts
  • Carry out special projects and events as assigned by leadership
  • Completes other duties as assigned

Qualifications

Superior organizational and relationship skills and an enthusiastic personality with the ability to inspire and motivate staff, volunteers, members and participants to create a culture of service within our program sites

Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community

  • Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative
  • Must be highly organized with the ability to work under pressure and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required
  • Ability to work a flexible schedule, including evenings and occasional weekends
  • Bachelor’s degree in relevant subject area.  A minimum three year’s work experience and/or training
  • Experience in leading volunteers and developing volunteer programs
  • Experience in excellent customer service during volunteer recruitment, training, support
  • Experience working with leaders from business, community, and university settings
  • Familiarity with the needs of high-risk youth
  • Skilled in problem-solving and able to take initiative
  • Ability to work in fast paced environment and complete tasks
  • Knowledge of adult training methods preferred
  • Excellent collaboration skills in working with cross-functional teams
  • Must present a professional image and possess a high level of interpersonal skills
  • Minimum 21 years of age
