DESCRIPTION
The Community Outreach and Volunteer Coordinator is responsible for managing Special Olympics Tennessee’s community and volunteer registration processes by providing excellent customer service to Special Olympics athletes, coaches, families, and corporate, and community volunteers. The ideal candidate will demonstrate the ability to create new opportunities for people to participate in Special Olympics—whether they be volunteers, athletes, or coaches.
MISSION
The mission of Special Olympics is to provide year-round sports training and athletic competition in a variety of Olympic-type sports for children and adults with intellectual disabilities, giving them continuing opportunities to develop physical fitness, demonstrate courage, experience joy, and participate in a sharing of gifts, skills, and friendship with their families, other Special Olympics athletes, and the community.
Job Responsibilities
RESPONSIBILITIES
- Identify, coordinate, and manage all corporate and key partner volunteer registrations to ensure major state events (e.g., sports competitions, health screenings, and special events) have the necessary volunteer base needed for seamless execution and the highest levels of success
- Manage new athlete and coach registrations to recruit and grow community participation in partnership with the SOTN Sports & Competitions team
- Ensure all contractual sponsorship volunteer elements are met and fulfilled in conjunction with the Development Information Manager
- Be SOTN’s main point of contact to answer and disseminate scheduling and other vital volunteer information, as well as offer hands-on support to participants throughout the registration process
- With appropriate team members, schedule, visit, and present SOTN volunteer and other engagement opportunities to corporations, civic organizations, and other appropriate groups to grow volunteer interest and participation
- Help build programming throughout the state by proactively identifying and engaging new area coaches, athletes, and volunteers by partnering with regional and area directors
- Provide detailed and accurate monthly tracking reports on newly registered volunteers, coaches, and athletes
- Conduct regular online or in-person volunteer trainings
- Become proficient in using the Games Management System (GMS) and other data platforms
- Assist with the establishment of seasonal open registration events in Middle, East, and West Tennessee
- Manage on-site registrations for all regional and state events including the check-in process for delegations and volunteers, providing any needed event information (e.g., scheduling, volunteer assignments, venue information)
- With the Director of Marketing & Communications, create annual volunteer appreciation touchpoints to highlight and celebrate volunteers and the vital role they play in organizational success
- Be main point of contact for SOTN’s Young Professionals Board (YPB)
- Additional responsibilities as assigned by the Chief Development Officer
Qualifications
- Three (3) years of volunteer management experience preferred
- Proficiency in using relevant technology, including Microsoft Office, Google Docs, and database systems.
- Ability to build effective relationships with a variety of individuals and organizations
- Paid and/or volunteer experience working with individuals with intellectual disabilities (ID) preferred
- Excellent organizational and time management skills and the ability to prioritize work
- Excellent written and verbal communication skills with a customer service-centric approach
- Possess excellent problem-solving skills
- Demonstrated ability to work with diverse personalities with a team-first mindset
- Ability to multi-task effectively in a fast-paced environment
- Willingness to travel and work evenings and weekends to meet job requirements, when necessary
- Have a valid Tennessee driver’s license and meet minimum Tennessee vehicle insurance requirements
- Must pass a criminal background screening and submit to random drug testing
