Job Summary

The Communications Coordinator/Administrative Assistant manages all forms of external and internal communications within the church. This includes oversight of email marketing, social media platforms, and website maintenance, in addition to the production of print materials (brochures, bulletins, flyers, banners, newsletters, and postcards). Administrative needs include maintaining the church calendar, answering phones, supporting staff and congregation members, and greeting guests to the church.

Job Responsibilities

  • Oversee distribution of churchwide announcements
    • Church-wide emails using MailChimp (weekly and as needed for deaths, inclement weather, large events, etc.)
    • Maintain church Facebook/Instagram pages and update content multiple times per week
    • Maintain church website: update content weekly (sermons, newsletters, classes, Wed night menus, blogs, event information and registration, etc.)
  • Organize and print weekly bulletins
    • Production of bulletins for worship services (including Sundays, funerals, seasonal gatherings) in coordination with pastors, director of music and worship, and other staff
    • Coordinate with laity for carnations for births and deaths in the bulletin
    • Coordinate with Altar Guild on flower dedications and put in bulletins
    • Maintain list of missional moments for each month
    • Prayer list (maintain, update, distribute) using Excel; distribute to prayer team, include in bulletins
  • Act as staff administrative lead
    • Maintain church and facilities calendars for all church events and others who use church facilities. Schedule Zoom calls for staff meetings, small groups, and committees as needed.
    • Create/print/distribute agenda for weekly staff meetings
    • First point of contact for any and all visitors that come to the office, act as front desk role when there is none. Answer phones when needed.
    • Oversee front desk volunteers and coordinate schedule.
    • Oversee office equipment (copiers/printers, folding machine, postage machine) and order office supplies for church and staff as needed
    • Liaison with outside vendors for ordering new equipment or software
  • Draft and print all print marketing materials
    • Production and mailing of quarterly newsletter, managing volunteers
    • Make door signs, business cards, etc
    • Print prayer and visitor cards periodically for volunteers to restock
  • Additional Responsibilities including:
    • Coordinate with pastors on new members (for bulletins and social media spotlights)
    • Provide marketing assistance to church committees as requested 
    • Weddings: provide information, reserve spaces, and channel communications to wedding coordinators, pastors, director of music and worship
    • Funerals: reserve facilities for services, work with family, pastors, and director of music and worship to produce bulletin, email arrangements to church using Mailchimp
    • Hire, train, and manage Belmont Work-study students (if applicable)
    • Oversee Belle Meade Broadcasters (members who help push social media content)

Qualifications

  • Proficiency in the use of computers, Canva, Squarespace, Google Suite Management (adding/deleting users, migrating emails, managing calendars and resources), Adobe Creative Suite (InDesign, Photoshop, Illustrator, Acrobat), Google Drive (Docs, Sheets, Calendar), Mac Platform Apps
  • Multi-tasker
  • People-person
  • Self-starter with strong organizational skills.
  • Excellent leadership, communication, interpersonal skills and professionalism.
  • A commitment both to continuing personal development and self-care, and maintaining wholeness as a person.
  • A desire to help the church remain relevant, relatable and innovative through digital ministry.
  • Bachelor’s Degree in Communications or a related field.
  • Experience working in a non-profit setting/church.
