ABOUT COMMUNITIES IN SCHOOLS

Communities In Schools of Tennessee (CIS-TN) is a nonprofit that partners with K-12 public schools to surround students with a community of support empowering them to stay in school and achieve in life.

As part of the CIS national network, CIS-TN achieves this mission by placing site coordinators in schools across the state to provide school-wide interventions and case managed services for students in need.

To best support the students, families, schools, community partners, and our staff members involved in this work, CIS-TN staff and board members center all decisions, actions, and services on the following core values:

Job Responsibilities

JOB RESPONSIBILITIES

The chief operations officer (COO) manages the following responsibilities for the organization:

  • Supporting the CEO in designing and implementing organization-level strategy to maintain current programmatic operations
  • Building, maintaining, and monitoring systems so that staff members can focus on their respective job duties and goals
  • Hiring and providing administrative oversight for the organization
  • Developing project plans for cross-departmental activities

Specific duties include, but are not limited to:

Human Resources

  • Ensures the organization is fully and appropriately staffed and that administrative needs are met for employees and the organization
  • Works closely with all staff to maintain a productive and inclusive culture that is centered in our core values and in which staff thrive
  • Ensures background checks for all employees
  • Manages annual performance evaluations
  • Leads hiring and recruiting of open positions with diverse staff who reflect the communities we serve
  • Provide initial coordination of intern placements and paperwork
  • Onboards all new staff on benefits enrollment, HR paperwork completion, IT access, etc.
  • Evaluates and revises personnel policies and procedures regularly, with a lens on ensuring equity.
  • Oversees bi-weekly payroll
  • Oversees and maintains HR management platform
  • Manages annual benefits plan

Finance

Ensures the organization is accurately projecting expenses and operating within budget

  • Works with the CEO and Finance committee to project annual budget
  • Leads audit preparation and works closely with accountant and auditor to complete a timely audit and 990
  • Oversees monthly invoicing process
  • Provides oversight for deposits and accounts receivable
  • Oversees accounting and payroll processing contracts, including daily interactions with contractors
  • Negotiates annual benefits plan

IT

Ensures technology needs of staff are met and consistently monitored

  • Maintains software licenses
  • Ensures staff have appropriate technology and equipment needed for job performance
  • Oversees IT support contract
  • Conducts planning for IT systems and needs
  • Supports program data collection

General Operations

Organization policies and systems are established, clearly defined, and communicated throughout the entire organization

  • Leads CIS National Accreditation preparation
  • Maintains organization’s insurance policies
  • Manages contracts, including, but not limited to:
    • School districts/TDOE
    • Lease agreement
    • Technology Maintenance
    • Accounting
    • Benefits and Payroll
  • Works closely with Development staff to ensure appropriate staffing and management for events.

Strategy

Works with CEO and organizational leadership to ensure all aspects of operations are aligned to and supporting the strategic priorities of the organization.

EDUCATION AND/OR EXPERIENCE

Bachelors with a preference for a masters. Must have a valid driver’s license and automobile insurance.

COMPENSATION AND BENEFITS

Salary range is $75,000 – $95,000.
