JOB DESCRIPTION

The Center Operations Coordinator anticipates and oversees in-person activities to ensure each day runs smoothly. This role will staff in-person shifts during hours of operation. Until otherwise amended permanently or for coverage, the individual in this role will open and close the center Monday – Friday, 8:00am – 1:00pm. Additionally, when available, this position will staff the monthly “Saturday Thrift Shop Sale” held one Saturday a month, 7:00am – 1:00pm. 

The Center Operations Coordinator is responsible for scheduling daily volunteer support and coordinating coverage when planned or unplanned circumstances prevent them from being on-site. 

This role will report to the Program Manager who stays abreast of the overall goals and initiatives set by the Program Director.

Job Responsibilities

TASKS & RESPONSIBILITIES

  • Carry out daily responsibilities (subject to change, not exhaustive): 
    • 8:00 AM –  8:30 AM: Implement opening protocol
      • Turn on lights
      • Turn on warmer for meals
      • Clear and wipe down tabletops
      • Declutter kitchen  
    • 8:30 AM – 9:30 AM: Prepare for scheduled activities
      • Prepare coffee (when needed)
      • Put out Bingo prizes (Fridays) 
      • Set-up chairs/tables as relevant
      • Receive lunch
      • Greet / welcome guests
    • 9:30 AM – 11:00 AM: Program / Thrift Shop Operations
      • Ensure attendance sheets are updated
      • Plan/coordinate for future activities
      • Support Thrift Shop operations
    • 11:00 AM – 11:30 AM: Lunch, Dish
      • Serve lunch (pre-packaged meals)
      • Complete meal paperwork
      • Wash used coffee cups, etc.
    • 11:30 AM – 12:45 PM: Program / Thrift Shop Operations
      • Carry out other support, as assigned or needed    
    • 12:45 PM – 1:00 PM: Implement closing protocol
      • Ensure all doors are closed
      • Turn off lights
      • Ensure windows are closed
      • Monitor AC units
  • Carry out weekly responsibilities: 
    • Anticipate and coordinate logistics for programming 
    • Clean and organize high traffic areas 
    • Wash and fold towels used for cleaning
    • Support meal program by: attaining participant signatures and submitting weekly meal sheets.
  • Carry out monthly responsibilities: 
    • Coordinate monthly volunteer schedule to ensure daily support
    • Submit volunteer hours associated with meal program

ONBOARDING EXPECTATIONS

  • Paid onboarding & training will be provided over the course of two weeks and will be coordinated by the Program Manager. During this time, the following will be covered:
    • Google Workspace: setting up email, access to shared files
    • Monthly program calendar
    • Attendance tracking
    • Meal program procedures
    • Thrift shop procedures: receiving donations / merchandising 
    • Attend/participate in programming (e.g. fitness classes, speaker series, tech classes)

Qualifications

The ideal candidate is a self-starter and a natural “people person” who thrives in a dynamic environment. This role requires strong organization, reliability, attention to detail, and effective time management. It involves a balance of physical tasks—such as cleaning, tidying, lifting, and rearranging tables/chairs—and thought work, including critical thinking, clear communication, and problem-solving.

As the face of the Renaissance Center, this individual should excel at making participants and volunteers feel welcome and engaged. Experience in hospitality or retail is preferred, and familiarity with working with volunteers or older adults is a plus.

The Renaissance Center is closed for Martin Luther King, Jr. Day, Presidents’ Day, Memorial Day, Independence Day, Labor Day, Thanksgiving (and the day after), and the week between Christmas and New Year’s Day. 

Part-time employees receive one week of paid time off after 6 months of employment.
