Job Summary

The Business Manager is responsible for ensuring that the organization complies with all federal, state and local Department of Labor requirements, complies with all contractual obligations as it relates to personnel, ensures employee benefits are managed appropriately, manages payroll functions, and assists with basic accounting functions

Job Responsibilities

DUTIES OF JOB

  1. Human Resources
    1. Maintain personnel files and employee database to track all employee and volunteer paperwork including but not limited to insurance enrollments and cancellations; mandated training; background checks; employment verifications and income reports; W4 status; timesheets; assigned office equipment; salary information; performance evaluations and corrective action
    2. Support management to recruit and hire new employees when positions are open
    3. Maintain updated employee packet information for new hires and coordinate new employee orientations when needed
    4. Accurately administer the benefits offered by The Arc, be able to explain them thoroughly and ensure that policies and procedures accurately reflect the benefits available
    5. Review and research benefit renewals
    6. Enter 1099 information for new vendors as needed and track any contract labor
    7. Ensure all personnel files include the documentation required by our contractors
    8. Ensure personnel manual, operations manual and all policies comply with all applicable laws and contractual obligations and are consistent with practice
    9. Ensure the organization complies with all Department of Labor and other applicable laws
    10. Facilitate the annual performance review process with employees
    11. Support management and employees through corrective action processes
  2. Payroll
    1. Accurately process all aspects of payroll for employees, including those individuals employed through the PASS program
    2. Transfer money to PASS bank account for each payroll
    3. Payroll transfer from Payroll to GL for each pay cycle
    4. Accurately process all required quarterly and annual taxes including but not limited to 941, 940 (Pass), 5550, Department of Labor
    5. Accurately process annual W-3 and W-2 forms by the required deadlines
    6. Ensure compliance with all payroll and labor laws
    7. Pay retirement plan after each payroll
  1. Financial         
    1. Ensure accuracy of income coming into the organization by comparing incoming checks with money log, depositing checks, disseminating final reports weekly, bi-monthly and monthly as required
    2. Verify insurance bills monthly and compare to payroll deductions/benefits before forwarding for payment
    3. Complete annual 5500 report for retirement plan
    4. Invoice for any needed accounts receivable – monthly
    5. Follow-up on affiliation fee and membership invoices
    6. Assist with quarterly internal audit
    7. Update investment fund report
  1. Program
    1. Provide assistance with MegaConference activities as needed both at the office and on site
    2. Take minutes at meetings as needed
  1. Other projects assigned

Qualifications

QUALIFICATIONS

  • Bachelor’s degree in an HR related field or at least five years’ experience in HR
  • Knowledge of basic accounting
  • Knowledge of and ability to implement applicable labor laws in a small non-profit environment
  • Computer literate and proven competency in Microsoft Office programs including but not limited to Word, Excel, Power Point, Access and Outlook.
  • Ability to understand and apply regulations, rules and requirements of our contractors
  • Strong verbal and written communication skills.
  • Demonstrated flexibility to meet the needs of the organization

  • Reliable transportation
