Job Summary

Global Sanctuary for Elephants, a 501 (c)(3) nonprofit headquartered in Brentwood, Tennessee, is seeking an experienced Administrative Coordinator to support of our mission, protecting, rescuing and providing sanctuary for elephants worldwide, and our pilot project – Elephant Sanctuary Brazil.

Job Responsibilities

Administrative Coordinator will report to the Marketing & Development Manager and key Board Members. Duties include:

 

General Admin:

  • Maintain cloud-based document management system for secured data and document retention.
  • Update web-based site including GSE Web Wish List and GSE Zazzle Gift Shop
  • Tracking and maintain legal compliance documentation records including solicitation permits, insurance documentation, etc.

HR:

  • Maintain All HR records including but not limited to employee and independent contractor contracts, resumes, W2 / W4 forms, etc.
  • Draft and update job descriptions, schedule job postings and interviews.
  • Update Employee Handbooks, research HR regulations and research/administer benefits program.
  • Run bi-weekly payroll and maintain digital payroll records.

Bookkeeping:

  • Input all expenses and bank deposits into QuickBooks.
  • Generate financial reports as needed for monthly reconciliation, board meetings, annual audit, 990 filings, etc.
  • Manage and track records for all expense receipts, contractor payments, and employee expense reimbursements.

Other administrative and community relations activities as needed.

Qualifications

Experience Requirements include:

  • 4 Years of administrative experience in a nonprofit setting.
  • Experience with QuickBooks for Nonprofits, Microsoft Office, PowerPoint, Adobe, Excel, WordPress, Mailchimp, and cloud-based application processes such as Google docs, Dropbox, etc.
  • Strong attention to detail and bookkeeping skills. Requires a communication and writing style that is professional while also expressing the passion and compassion inherent to GSE’s mission
  • Ability to self-mange and work under stressful deadlines and juggle multiple projects with flexibility to work weekdays, evenings and weekend hours as needed.
  • Ability to collaborate with staff and board while working remotely in the Middle TN area.
