Job Summary

TennGreen Land Conservancy is seeking a full-time Administrative Coordinator which will report to the Executive Director.

This position is integral to the high functioning of TennGreen’s executive team and board of directors. The goal is that this team member makes the executive team more efficient by managing their calendars, travel, committee leadership, etc., and documenting relevant communications. The Administrative Coordinator is also the primary point of contact for our board members and facilitates their meaningful engagement with TennGreen.

Job Responsibilities

Board Member Liaison

  • Serve as the primary point of contact for all TennGreen board members
  • With the Executive Director and other leadership, create and manage the implementation of our board cultivation and engagement plan, reminding board leaders and staff to carry out defined activities to increase board engagement
  • Communicate with board members on behalf of the Executive Director as requested, obtaining personal and confidential information
  • Work closely with Executive Team to set annual meeting calendar (board and all board committees), manage all calendar invitations, assure timely preparation of all meeting agendas and materials, handle follow-up tasks after board and committee meetings
  • Organize the internal preparation for Board and Committee meetings including strategically organizing executive team’s preparation time, on-site logistics, and manage external presenters when applicable
  • Organize annual Board and Staff retreats
  • Attend and take meeting minutes as necessary, maintaining strict confidentiality of the information
  • Manage and regularly ensure the accuracy of all board members’ information (contact info, job affiliation, committee assignments, board history)
  • Manage Board succession planning and annual reappointments as needed
  • Coordinate gestures of kindness and marking of milestones with the Executive Director for board members throughout their service
  • Implement and evolve the Board Orientation system for onboarding new board members
  • Provide support (as needed) to the Director of Development as they coordinate board stewardship of donors
  • Manage the Board Development Committee
  • Find opportunities to engage with Board members individually and as a group, increasing comradery and enhancing their experience
  • Draft monthly BOD update emails on behalf of the Executive Director
  • Create and update a matrix of key skills, geographies, etc. for the Board Development Committee’s work

Support of Executive Team

  • Calendar management for the executive team – scheduling meetings; sending calendar invitations and email reminders; confirming meetings in advance as needed
  • Support the executive team by recording contact reports from meetings and new contacts of key stakeholders in the CRM system

Human Resource Support

  • Guide enhancements to staff experience by facilitating staff gatherings, holiday events, competitions, satisfaction surveys, all staff trainings
  • Collaborate with the Executive Director for the implementation of any staff-wide trainings or professional development projects such as Diversity, Equity, and Inclusion work
  • Manage the hiring process for future employees– posting open positions, resume collection, candidate communications, scheduling interviews, on-boarding process, etc.
  • Coordinate monthly staff meetings: implement a preparation schedule, set up on site, purchase any pertinent materials, and ensure the slide deck is updated available

Office Management and General Support

  • Develop a Merchandise program, including budgeting, advertising, inventorying, and shipping a variety of items
  • Maintain inventory of office supplies and purchase as needed
  • Screen phone calls and assist outside callers in reaching the right person in the organization
  • Ensure that the office is tidy and pleasant in appearance for guests, including trash, recycling, and the kitchen
  • Liaise with office-specific vendors as appropriate, including cleaners, landscapers, maintenance workers, etc. (as needed).
  • Serve as backup for the alarm system in case of emergencies
  • Maintain schedule of use of conference rooms and company vehicles via Outlook
  • Be flexible in supporting any office projects needing extra attention
  • Assists staff in projects and cross-coverage if needed
  • Provide tech support as needed
  • Performs other functions as assigned

SKILLS REQUIRED

  • Excellent proficiency of Microsoft Office Suite, including Outlook, Word and Excel
  • Ability to maintain confidentiality, discretion and ethical gathering of information and processing of all sensitive donor information
  • Prior non-profit development experience, preferably working with Boards
  • Excellent written and verbal communications skills
  • Ability to prioritize tasks, utilize good judgment and decision-making skills
  • Demonstrate flexibility in accepting and carrying out assignments (which will include some evenings and weekends)

Benefits

The Administrative Coordinator is a full-time salaried position, with occasional evening and weekend work. Starting salary is $40,000 – $45,000 based on applicable experience, with opportunities for annual performance-based salary increases. The benefits package includes optional health/dental/vision insurance and a retirement savings plan (with matching contributions after two years).
