Job Summary

TIRRC is seeking an enthusiastic Administrative Coordinator to execute finance and data administration and coordinate events to ensure TIRRC’s headquarters provide an inclusive space for Tennessee’s immigrant and refugee communities.

Job Responsibilities

Event Coordination

  • Implement systems and strategies to successfully market TIRRC’s Eloisa Salazar Event Center, recruit bookings, and host internal and external events, including: 
    • Managing inquiries and tours for prospective event rentals;
    • Managing contracts and invoices for event rentals;
    • Coordinating scheduling for event rentals and manage event rentals calendar;
    • Tracking payments and revenue for event rentals;
    • Recruiting, hiring, and supervising part-time event attendants;
    • Creating and updating event center marketing materials;
    • Managing list of preferred event vendors for external groups;
    • Helping with logistics, volunteers, and supplies for all food events.

Finance and Data Administration

  • Perform in-person Accounts Receivable tasks, such as checking mail, logging checks, collecting cash payments, etc. in coordination with the Finance Manager; 
  • Perform in-person Account Payable tasks, such as printing and mailing checks, collecting substantiating documentation, preparing cash boxes, etc. in coordination with the Finance Manager; 
  • Perform organizational banking activities; including bi-monthly deposits;
  • Conduct systematic data tracking, clean-up, and actualization for TIRRC and TIRRC Votes donors; 
  • Oversee data collection and reporting for TIRRC and TIRRC Votes fundraising activities;

Membership and Merchandise Inventory

  • Manage and process organizational membership dues, processes, and lists;
  • Collect and input data from digital and print membership forms and create IDs for new members;
  • Keep an updated inventory of merchandise and update the website as needed;
  • Sell TIRRC and TIRRC Votes merchandise at in-person events, online, and fulfill order shipments.

Qualifications

  • Belief in TIRRC’s mission and commitment to social justice;
  • Ability to establish and maintain positive working relationships with diverse communities; 
  • Ability to work independently as well as part of a team;
  • Ability to manage multiple tasks with attention to detail and work in a fast-paced environment;
  • Ability to work flexible hours, including some nights and weekends;
  • Fluency in English required and another language preferred;
  • Must have reliable transportation.
