Job Summary

The candidate who fills this position will be responsible for performing advanced, diversified administrative duties requiring the exercise of discretion and independent judgment with respect to the general business operations of TEA.    

The Administrative Assistant reports to the Executive Director and Assistant Executive Director/General Counsel and will work collaboratively with executive management and the TEA President by serving as the central point of contact and for the planning and coordination of the Executive Director’s activities, creating win-win situations for direct access to the Director’s time and office, including preparation of relevant meeting documents and briefing materials. This is a demanding and fast paced environment requiring the Associate to be persistent and politically astute in working with TEA’s Board of Directors, local affiliates as well as executive level officials in external agencies.

The successful candidate will need to reside in or near the Nashville area and must have a valid driver’s license and reliable transportation. Candidate’s main job location will be TEA Headquarters. The position will require participation in occasional evening and weekend Association events.

Job Responsibilities

Essential Job Functions:

  • Lead and implement project coordination and event planning.
  • Lead the development and implementation of internal business systems and office management procedures.
  • Assist with the coordination, support, planning, protocols and operations of the TEA and NEA Representative Assemblies.
  • Research and prepare data to create operational documents for review and presentation by the board of directors, committees, and executives.
  • Perform special projects and assignments for Executive Director or General Counsel as requested.
  • Negotiate with vendors and execute contracts on behalf of TEA as assigned.
  • Efficiently prepare and edit inbound and outbound communications including databases, expense reports, confidential correspondences, managing email, phone messages, and hard copy mail.
  • Conduct clerical duties, including filing, office management, creating conference agendas, preparing documents and presentations and internal information and platforms.
  • Provide secretarial assistance to executive management.
  • Maintain and monitor updates of the TEA Board Policy manual, Administrative Policies, TEA Calendar of Events and bargaining unit negotiated agreements.
  • Schedule and maintain calendar of appointments, meetings and travel itineraries and coordinate related arrangements as requested.
  • Monitor and assist executive management and Board of Directors with the timely completion and submission of documents relevant to TEA operations.
  • Manage visitors to the office and resolves routine and complex inquiries.
  • Maintain a positive demeanor regardless of changing tasks or evolving work opportunities.
  • Represent the TEA president and executive director to both members and, at times, the public.
  • Other duties as assigned by the Executive Director, the Assistant Executive Director/General Counsel, or their designee.

Qualifications

Qualifications/Experience:

  • Requires 5+ years experience as an administrative assistant with associate/bachelor’s degree or 8-10 years experience as executive assistant or a comparable position without a degree.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms and able to type a minimum of 50 words per minute.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and elected officials.
  • Expert level written and verbal communication skills.
  • Proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team-player, with the ability to be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Proven ability to be innovative in work processes and solving unique problems.

Preferred Competencies

  • Four-year college degree is preferred
  • 2+ years administrative support experience at an executive level
  • Ability to create graphs in MS Office products
