Job Summary

University School of Nashville seeks a full-time Administrative Assistant to support the Head of Middle School, the Assistant Head of Middle School, and the middle school faculty at this highly respected K-12 independent school. This hourly support staff position is full-time (12 months), non-exempt, and reports to the Head of Middle School. The Administrative Assistant must be available to work school office hours (7:15 am – 4:15 pm), as well as for occasional evening and weekend events. Punctuality is a priority.

 

University School of Nashville is an independent, non-sectarian, co-educational day school with enrollment of 1,080 students in kindergarten through twelfth grade. In 1915, the George Peabody College for Teachers opened Peabody Demonstration School, USN’s predecessor, which earned acclaim for its curriculum and faculty. In 1974, Peabody College announced plans to close PDS, and a group of parents, alumni, students, and teachers reconstituted and re-chartered the school as University School of Nashville.

Job Responsibilities

The Middle School Administrative Assistant will provide a wide range of administrative support including office management, scheduling and data entry, serving as the primary point of contact for middle school students and their families, maintaining the middle school office and faculty room spaces, scheduling substitutes and maintaining substitute records, and helping with special events as needed. The Administrative Assistant will also provide support to middle school faculty as needed including photocopying, preparing packets, answering and directing phone calls and emails, and stocking supplies.

Qualifications

Qualifications include strong organization and communication skills, experience with systems and organization, an appreciation for middle school aged students, and experience in a diverse community setting. USN has a deep commitment to equitable and just community spaces. Candidates should be knowledgeable of equity and inclusion and how to support students and faculty. 

Education and Experience

  • High School diploma or equivalent required, college degree preferred
  • Prior administrative office management experience preferred
  • Competency in Microsoft Office, gmail, and database management
  • Experience working in an equitable and inclusive community setting

Skills and Abilities

  • Dependable professional with excellent organizational skills, initiative, attention to detail, and a positive attitude
  • Possess strong computer skills and experience with Microsoft Word, Excel, Google Suite, and database management
  • Excellent oral and written communication skills
  • Eagerness to learn and ability to adapt to change; commitment to one’s own professional development
  • Work independently and flexibly in a busy, open, and active environment
  • Work professionally and collaboratively with colleagues and other members of the USN community
