Job Summary:  The Administrative Assistant provides clerical support for the Administration team. The position also performs duties for accounts receivable and accounts payable. This position is for 30 hours per week.

The National Health Care for the Homeless Council is the premier national organization working at the nexus of homelessness and health care. Since 1986, we have brought together thousands of health care professionalsmedical respite care providerspeople with lived experience of homelessness, and advocates. Our 200+ Organizational Members include Health Care for the Homeless health centers, respite programs, and housing and social service organizations across the country.

Job Summary:  The Administrative Assistant provides clerical support for the Administration team. The position also performs duties for accounts receivable and accounts payable. This position is for 30 hours per week.

Job Responsibilities

  • Light receptionist duties, including but not limited to greeting visitors and answering the telephone.
  • Responsible for ensuring that the office is stocked with supplies and purchases other items as requested.
  • Checks and distributes the mail.
  • Prepare all deposits sheets including credit card transactions, checks, and cash, for data entry purposes.
  • Scanning, filing, and copying for AP and other department needs.
  • Troubleshoot copiers/printers as assigned.
  • Assist with maintenance requests. Contact and schedule approved vendor(s) for repairs.
  • Assist with making phone calls to vendors to resolve billing issues.
  • Maintain W-9 lists for SMEs.
  • Provides support for the admin team such as making copies, scanning, preparing packets, etc.
  • Coordinates staff and constituent travel arrangements and paperwork.
  • Assist with IT inventory and special projects.
  • Coordinate recycling with vendors for computers, paper, etc.
  • Assist with conference Purchase Orders and registration.
  • Assist with invoicing Exhibitors and Sponsors for Conference.
  • Assist with posting Council jobs online.
  • Assist with Staff Retreat meal/snack and activities planning.
  • Maintain Master Calendar.
  • Maintain and post Admin forms to SharePoint and SamePage for staff access.
  • Other duties as assigned.

Qualifications

Skills:

  • Intermediate knowledge of Microsoft Office Word, Excel, and Outlook.
  • Able to operate a variety of office equipment, including but not limited to the photocopier, fax, printers, postage meter, and personal computers.
  • Excellent oral and written communications skills and the ability to work well with a variety of people.
  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and follow through on issues in a timely manner.
  • Flexible, willing to assist in all Council projects, and willing to learn.
  • Handles confidential matters professionally and with discretion.

Education and Experience:

  • College degree or equivalent work experience.
  • 1 + years of experience in accounts receivable and/or accounting preferred.
  • 2+ years of administrative support work.
